Dealership Controller

Job Description

Job Title: Dealership Controller

Department: Finance
Reports To: Chief Financial Officer

Position Summary

The Dealership Controller directs and oversees all financial and accounting operations for USA Automotive Partners Dealership network. This role ensures the accuracy and integrity of the dealership’s financial records, timely preparation of financial statements, and full compliance with Generally Accepted Accounting Principles (GAAP), General Motors, Stellantis and Ford financial reporting requirements, lender agreements, and company policies.

The Controller maintains strong internal controls, safeguards dealership assets, leads the accounting team, and ensures compliance with all applicable federal, state, and local regulations while supporting the dealership’s operational and strategic objectives.

Key Responsibilities

Financial Management

Prepare accurate monthly financial statements in accordance with OEM guidelines and company reporting requirements.
Drive timely and accurate month-end and year-end closing processes.
Analyze overall dealership financial performance and identify opportunities to improve profitability and efficiency.
Prepare monthly financial reports to executive leadership.
Monitor cash flow, working capital, and liquidity.
Oversee all core accounting functions.
Review daily cash reconciliations and bank deposits.

Accounting Operations

Supervise and develop the accounting office team.
Ensure timely reconciliation of all balance sheet accounts.
Oversee floorplan reconciliations and vehicle inventory accounting.
Monitor contracts in transit (CIT).
Ensure accurate accounting across new vehicle, used vehicle, parts, service, and F&I operations.

Financial Analysis & Planning

Analyze gross profit trends by department.
Review departmental expenses and identify cost-saving opportunities.
Track and report key dealership performance indicators (KPIs).
Present financial analysis and recommendations to dealership leadership.
Partner with department managers on budget management and performance improvement.

Internal Controls & Compliance

Develop, implement, and maintain strong internal accounting controls.
Ensure ongoing compliance with company policies, manufacturer requirements, and lender covenants.
Oversee compliance with federal, state, and local tax regulations, including sales tax, property tax, and payroll tax filings.
Protect company assets through effective financial controls and risk management.

Leadership

Lead, mentor, and develop accounting staff.
Foster strong collaboration between the accounting team and dealership operations.
Support the General Manager and department managers with sound financial decision-making.

Qualifications

Education

Bachelor’s degree in accounting, Finance, or Business Administration required.
CPA designation preferred.

Experience

Minimum of 5 years of progressive accounting experience.
Minimum of 3 years of automotive dealership accounting experience strongly preferred.
Prior Controller or Assistant Controller experience preferred.
Multi-store or multi-franchise dealership experience a plus.

Knowledge, Skills & Abilities

Strong understanding of dealership accounting principles and manufacturer reporting requirements (GM).
Working knowledge of major dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, or similar).
Advanced Microsoft Excel skills.
Proven ability in financial statement preparation, analysis, budgeting, and forecasting.
Solid knowledge of internal controls and audit procedures.
Strong analytical, problem-solving, and organizational skills with the ability to meet strict deadlines.
Excellent written and verbal communication skills.
Demonstrated leadership and team development abilities.
High level of integrity, confidentiality, and professional ethics.

Pay: $95,000.00 - $100,000.00 per year
