Job Summary

We are seeking an energetic and detail-oriented Front Desk Receptionist/Office Assistant to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support daily office functions to ensure a smooth and efficient workplace. Your positive attitude and organizational skills will help create a professional environment where clients, visitors, and team members feel valued and supported.

Duties

Greet visitors, clients, and vendors warmly, ensuring a positive first impression.
Answer multi-line phone systems promptly, using proper phone etiquette to direct calls efficiently.
Manage incoming and outgoing correspondence, including emails, mail, and packages.
Maintain organized filing systems and handle clerical tasks such as data entry, proofreading, and document preparation.
Support office management activities by scheduling appointments, coordinating meetings, and managing calendars.
Assist with administrative duties such as typing reports, updating client records, and supporting customer service efforts.
Ensure the reception area remains tidy and professional at all times.

Requirements

Bilingual skills are highly preferred to effectively communicate with diverse clients and team members.
Proven office management or administrative experience in a fast-paced environment.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
Excellent phone answering skills with a focus on phone etiquette and customer support.
Previous clerical experience including filing, data entry, proofreading, and document management.
Exceptional organizational skills with the ability to multitask efficiently and prioritize tasks effectively.
Personal assistant or front desk experience is a plus; familiarity with multi-line phone systems is essential.
Demonstrated ability to communicate clearly with clients and colleagues while maintaining professionalism.
