Full Job Description

Reports To: Business Administrator

Qualifications: Proficient in secretarial and computer skills, as well as excellent ability in communication skills. Experience in the school system is desirable.

General Description: The function of this position is to perform efficiently and confidentially all of the secretarial duties for the Business Administrator and to assist with routine business matters in the Board office.

Major Duties and Responsibilities:

1.0 Assist the Business Administrator in the efficient functioning of the office.

1.1 Responsible for all correspondence emanating from the office.

1.2 Prepare materials for Finance and Facilities Committees, as directed and prepare Board of Education agenda items as necessary.

1.3 Maintain district and state files and records for Free and Reduced Price Lunch.

1.4 Prepare and process bid specifications, file and coordinate contract awards with Accounts Payable.

1.5 Coordinate disposal of, and maintain records on, medical waste disposal.

1.6 Screen all telephone calls.

1.7 Handle all incoming and outgoing mail.

1.8 Maintain files and records.

9.0 Process subscription busing and other transportation requests.

1.10 Work well with a minimum of supervision - especially in the absence of the Business Administrator and/or other business office staff.

1.11 Process all Facility Use requests.

1.12 Process and file all tuition contracts and coordinate disbursements and receipts with the Bookkeeper and Accounts Payable staff.

1.13 Processes free and reduced lunch applications

1.14 Assist with accounts payable functions as needed

1.15 Process all Professional Development requests for reimbursement

1.16 Coordinate all documentation for Board of Education member training, NJSBA accounts and logins, and requisite ethics and background checks for Board of Education members. Coordinates ethics filings for all administrative staff.

1.17 Perform all other duties as assigned by the Business Administrator.

2.5 Respect and adhere to the code of confidentiality which the position requires.

2.6 Complete work assignments exactly and thoroughly.
