Why does the job exist?

Provide High level Support to ICWA Children's Court Attorney and ICWA Legal Secretary. Assist in handling information requests, scheduling meetings, arranging conference calls, and keeping track of coverage schedule as it relates to ICWA Children's Court Attorneys needs/requests. Prepares correspondence and legal papers such as summonses, complaints, motions, responses, and subpoenas under the supervision of an ICWA Children's Court Attorney or paralegal. Provides standardized clerical, reception, and administrative services in support of ICWA Children's Court Attorneys. Backup to ICWA secretary in processing new case files, Termination of Parental Rights Motions and other pleadings as necessary. Works closely with ICWA Tribes, ICWA representative and QA to be in compliance with ICWA/IFPA. Continuously stay familiarized with Tribes and tribal representatives and maintain current contact information for all. Enter FACTS entries for certified mailing of ICWA/IFPA legal notices made the same day as mailing. Attend ICWA court meetings, take notes and track tasks as requested by the ICWA Children's Court Attorneys as needed. Familiarizes themselves continuously with the requirements to be in accordance with practices and procedures including the Kevin S. cases and settlement.

This position will direct and supervise legal secretarial and ICWA secretary staff, provide high level of support services for the Managing Attorney, and coordinate support staff for the Children's Court offices in the region, in accordance with all Protective Services Division practices and procedures.
How does it get done?

Provide effective supervision to all legal secretarial staff in the region in a fair and professional manner; 35%

Perform administrative functions and support for the Managing Attorney and, when coverage is needed, for Children's Court Attorneys while adhering to division and department policies and procedures in a manner that ensure the smooth operation of the offices in the region; 35%

Perform personnel activities for the region in an efficient and professional manner; 15%

Perform the budget and fiscal activities for the region in an accurate and efficient manner. 15%
Minimum Qualification

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements

Must possess and maintain a valid Driver's License as statewide travel may be required. Pre-employment criminal background check is required and conditional pending results.
Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Travel may be required. Possible exposure to irate clientele. Incumbent will work under stress and frequent time constraints.
