Role Description

This is a full-time on-site role for an Office Admin located in Newark, NJ at JJ Martin Group, LLC. The Office Admin will be responsible for administrative assistance, customer service, and office administration tasks. They will handle communication with internal and external stakeholders, support accounting functions, and ensure smooth operations of the office.

Key Responsibilities

Office & Administrative Management

Oversee daily office operations to ensure an efficient, organized, and productive work environment.
Prepare reports, presentations, and internal documentation.
Coordinate shipments, inventory tracking, warehouse communications, and logistics activities.
Monitor inventory levels, assist with inventory planning, and coordinate with purchasing and warehouse teams to ensure product availability and accurate inventory records.
Oversee Accounts Receivable (AR) functions, including customer invoicing, payment tracking, collections, account reconciliations, and resolving billing discrepancies.
Oversee the Accounts Payable (AP) Team, providing direction, ensure timely invoice processing, vendor payments, account reconciliations, and accurate financial recordkeeping.
Work closely with vendors, customers, warehouses, and internal departments to ensure smooth day-to-day operations.
Identify opportunities to improve administrative and operational processes to increase efficiency and accuracy.

Qualifications

QuickBooks experience required
Administrative Assistance and Office Administration skills
Basic knowledge of Accounting
Attention to detail and organizational skills
Proficiency in Microsoft Office Suite
Ability to multitask and prioritize tasks
Experience in a similar role is a plus

Job Type: Full-time

Pay: $50,000.00 - $90,000.00 per year
