Office Manager / Bookkeeper
Sennes Design Build is a growing residential design-build and remodeling company based in the Venice / Nokomis, FL area. We are a small, organized, team-oriented company focused on trust, culture, and growth.
We are looking for a dependable, detail-oriented Office Manager / Bookkeeper to help strengthen our office, financial, and administrative systems as we continue to grow. This is a trusted internal role that will handle sensitive company, client, vendor, employee, payroll, and financial information.
The ideal candidate has hands-on experience with QuickBooks, payroll, Microsoft Excel, bookkeeping, reporting, accounts payable, accounts receivable, reconciliations, bill pay, data entry, and customer-facing communication. We are looking for someone who is stable, trustworthy, organized, and interested in becoming a long-term part of our team.
Job Summary
The Office Manager / Bookkeeper will oversee daily office operations while maintaining accurate financial and administrative records. This role will support bookkeeping, payroll, PTO tracking, client invoicing, vendor/subcontractor payments, lead intake, customer communication, reporting, filing, and general office coordination.
This position is ideal for someone who enjoys both the financial side of the business and the people-facing side of the office. The right person will be proactive, accurate, organized, professional, and comfortable working independently while staying closely connected with ownership and management.
Responsibilities
Bookkeeping & Financial Administration
- Maintain accurate financial records using QuickBooks.
- Manage accounts payable and accounts receivable.
- Prepare and send accurate, timely client invoices.
- Process vendor and subcontractor payments accurately and on schedule.
- Write checks, pay bills, and maintain organized payment records.
- Track expenses and maintain accurate financial documentation.
- Perform bank, credit card, and account reconciliations.
- Assist with collections and professional follow-up on billing questions or payment status.
- Support budget-vs-actual tracking, job cost reporting, and financial summaries.
- Prepare and maintain Excel spreadsheets and reports for management review.
- Perform accurate data entry and maintain organized financial records.
- Help identify opportunities to improve bookkeeping, reporting, and financial workflows.
Payroll, PTO & Employee Records
- Process payroll accurately and on time.
- Coordinate with management to verify employee hours, timekeeping, and payroll-related documentation.
- Track employee PTO, vacation, and other leave balances.
- Maintain confidential payroll and employee records.
- Support employee recordkeeping in compliance with company policies and applicable regulations.
Office Management & Customer-Facing Support
- Manage daily office operations and provide administrative support.
- Answer and direct calls using a multi-line phone system.
- Welcome visitors and provide professional front desk customer service.
- Assist with lead intake, client communication, and scheduling.
- Communicate professionally with clients, vendors, subcontractors, employees, and management.
- Schedule appointments, coordinate calendars, and assist with meeting arrangements.
- Prepare reports, proofread documents, and manage business correspondence.
- Organize and maintain electronic and paper filing systems.
- Order office supplies and coordinate office equipment maintenance.
- Maintain confidentiality of sensitive company, financial, employee, vendor, and client information.
- Help create an organized, efficient, and welcoming office environment.
Required Qualifications
- Minimum of 3 years of experience as a Bookkeeper, Office Manager, Accounting Coordinator, Administrative Manager, or similar role.
- Hands-on experience with QuickBooks.
- Hands-on experience with payroll processing or payroll support.
- Strong Microsoft Excel skills, including accurate data entry, spreadsheet maintenance, and reporting.
- Experience with accounts payable, accounts receivable, invoicing, bill pay, reconciliations, and financial recordkeeping.
- Knowledge of general accounting principles and bookkeeping practices.
- Strong attention to detail and accuracy.
- Excellent organization, time management, and follow-through.
- Professional phone etiquette and strong customer service skills.
- Ability to communicate professionally with clients, vendors, subcontractors, employees, and management.
- Ability to maintain strict confidentiality when handling financial records, payroll information, employee files, and other sensitive company data.
- Self-motivated, dependable, and capable of working independently while collaborating effectively as part of a team.
Preferred Qualifications
- Construction, remodeling, contractor, property management, or small business office experience.
- Experience with contractor billing, job costing, purchase orders, subcontractor/vendor documentation, or budget-vs-actual reporting.
- Experience creating or maintaining financial reports, Excel reports, or management summaries.
- Experience with Google Workspace.
- Experience with Buildertrend or similar construction/project management software.
- Current State of Florida Notary Public commission.
