Job Summary

We are seeking a dynamic and highly organized Administrative Assistant/Sales Representative to join our team. This role combines essential administrative support with proactive sales engagement, ensuring smooth office operations while fostering strong client relationships. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, with the ability to manage multiple responsibilities efficiently. Bilingual proficiency is a plus, enabling effective communication with a diverse client base. Duties

Provide comprehensive front desk support, greeting visitors and managing multi-line phone systems with professionalism and courtesy
Handle all incoming calls, directing inquiries appropriately and maintaining excellent phone etiquette
Manage office operations including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records
Assist with calendar management and scheduling appointments for team members or clients
Support sales efforts by communicating with clients, preparing proposals, and following up on leads to drive business growth
Maintain confidentiality of sensitive information while handling administrative tasks and client data
Perform clerical duties such as proofreading documents, managing office supplies, and supporting general office management tasks
Utilize Microsoft Office tools for document creation, spreadsheets, and presentations to support daily operations

Qualifications

Proven experience in an administrative or clerical role with strong office management skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and computer literacy skills
Experience with QuickBooks or similar bookkeeping software is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Strong customer service orientation with exceptional phone communication and etiquette skills
Bilingual abilities are preferred to serve a diverse clientele effectively
Demonstrated ability to handle confidential information discreetly and professionally
Previous experience in personal assistance or office support roles is advantageous
Familiarity with multi-line phone systems, data entry, proofreading, filing, and calendar management
