Overview

Our team is looking for a Commercial Support Assistant that provides administrative, operational, and commercial support to help our commercial team run efficiently. The role serves as a key point of coordination between managers, customers, vendors, and internal teams while ensuring communication, documentation, and commercial processes are organized and completed on time.

Responsibilities

Day-to-Day Responsibilities

Monitor and organize commercial email inboxes.
Respond to routine customer and supplier inquiries.
Draft and send correspondence on behalf of managers.
Schedule meetings and maintain calendars.
Prepare reports, spreadsheets, and presentations.
Maintain organized filing systems for confidential documents and records
Coordinate communications between departments.
Track customer requests and follow up on actions.
Maintain contract records and renewal schedules.
Assist with purchase orders and expense tracking.
Support budget and cost-tracking activities.
Operate phone system, directing calls accurately and courteously
Handle incoming and outgoing correspondence, including emails, and mail distribution
Perform data entry with precision using Microsoft Office applications
Support bookkeeping tasks such as invoicing, expense tracking, and financial record keeping
Assist with calendar management, scheduling meetings, appointments, and conference calls
Provide exceptional customer service by responding promptly to client inquiries and support requests
Handle clerical duties including proofreading documents, preparing reports, and maintaining office cleanliness

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) software
Strong computer literacy with excellent data entry skills and attention to detail
Previous office management or administrative experience in a professional setting
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional phone etiquette and communication skills for professional client interactions
Ability to handle confidential information discreetly and responsibly
Experience with clerical tasks such as filing, proofreading, and document management
Strong time management skills to meet deadlines efficiently
Personal assistant or office support experience is advantageous for multitasking in a busy environment
