Job Summary

We are seeking an energetic and proactive Sales Coordinator to join our dynamic sales team. In this role, you will be the vital link that ensures seamless communication between clients, sales teams, and management. Your enthusiasm for building strong customer relationships, combined with your expertise in managing sales processes, will drive our business growth. You will coordinate sales activities, support lead generation efforts, and assist in closing deals across various territories and industries. This position offers a fantastic opportunity to develop your management skills while contributing to a fast-paced, innovative environment focused on exceeding sales targets.

Responsibilities

Manage and nurture customer relationships through effective communication and personalized service
Support business development initiatives by identifying new prospects and generating leads through cold calling and prospecting strategies
Assist in managing territory sales by coordinating account activities and ensuring coverage across assigned regions
Conduct product demonstrations and presentations to clients, highlighting features and benefits tailored to their needs
Collaborate with marketing teams to develop campaigns that boost lead generation and brand awareness
Utilize CRM software such as Salesforce to track customer interactions, sales pipelines, and deal progress
Negotiate terms, close sales, and ensure customer satisfaction throughout the sales process
Core Responsibilities
Manage all client confirmation emails, follow-ups, and communication touchpoints once contracts are confirmed.
Prepare, finalize, and send all event paperwork, install details, and crew notes.
Coordinate with the Operations team to ensure internal crew paperwork is accurate, complete, and submitted on time.
Maintain event timelines, track changes, and update all internal systems (quotes, revisions, schedules).
Support Sales by organizing project details, managing updates, and ensuring nothing falls through the cracks.
Assist with New Items as needed (tracking, documentation, communication).
No onsite support required, strictly administrative and coordination-focused.

Skills & Experience Needed

Industry experience required, events, production, AV, decor, logistics, or related fast-paced operational fields PREFERRED NOT REQUIRED
Highly organized with the ability to manage large volumes of simultaneous programs.
Excellent written communication skills for both client-facing emails and internal coordination.
Strong follow-through with the ability to track deadlines, revisions, and multiple active projects.
Tech-savvy and able to learn internal systems quickly.
Comfortable collaborating with Sales team, Operations, and multiple internal departments.

Immediate Needs/ Urgency

Must have enough familiarity to step in quickly and adapt without extensive onboarding.
Capable of absorbing tasks currently falling on Sales due to a lack of coordinator coverage.
Able to immediately stabilize client communication and administrative workflow.

Program Planning & Execution

Plan, coordinate, and execute integrated marketing programs and campaigns across digital, email, print, events, and sales enablement channels.
Manage end-to-end program timelines, budgets, assets, and deliverables to ensure on-time execution.
Support product launches and promotions, including messaging, collateral development, and go-to-market coordination.

Cross-Functional Collaboration

Partner closely with Sales to align marketing programs with sales goals and field needs.
Collaborate with Product, Creative, and Operations teams to ensure accurate messaging, brand consistency, and operational readiness.
Coordinate with external vendors, agencies, printers, and event partners as needed.

Content & Asset Management

Coordinate development and distribution of marketing materials such as brochures, sell sheets, presentations, email campaigns, and digital assets.
Maintain and organize marketing assets, ensuring version control and brand compliance.
Support trade shows, events, and sponsorships, including logistics, materials, and post-event follow-up.

Performance Tracking & Optimization

Track and report on program performance using KPls such as engagement, leads, conversions, and ROI.
Analyze results and provide insights and recommendations for continuous improvement.
Maintain campaign documentation, calendars, and performance dashboards.

Process & Administration

Support marketing workflows, approvals, and documentation to improve efficiency and consistency.
Assist with CRM and marketing automation tools (e.g., campaign setup, tracking, reporting).
Ensure programs comply with brand guidelines and internal processes.

Pay: $23.00 - $25.00 per hour
