Full Job Description

Executive & Administrative Support

Manage executive calendars, scheduling meetings, interviews, tours, family meetings, contract signings, and other appointments.
Coordinate meeting logistics, prepare agendas, assemble materials, and document action items as requested.
Assist leadership with correspondence, presentations, reports, spreadsheets, and other business documents.
Monitor priorities and deadlines while helping executives stay organized and focused on strategic initiatives.
Serve as a professional point of contact for visitors, families, vendors, and business partners.

Office Administration

Maintain organized physical and electronic filing systems while ensuring confidentiality and HIPAA compliance.
Prepare and organize resident admission and move-out documentation.
Coordinate incoming and outgoing mail, shipping, scanning, filing, and document management.
Assist with ordering office supplies, maintaining inventory, and coordinating vendor services. Ensure restocking of break room supplies including snacks and drinks and cleaning of refrigerators and coolers.
Support general office organization and presentation to ensure a welcoming and professional environment.

Project & Leadership Support

Provide administrative support for company projects, special initiatives, and organizational priorities.
Assist with preparing materials for leadership meetings, orientations, training sessions, and company events.
Help coordinate travel arrangements, meeting registrations, and related logistics when needed.
Track project timelines, follow-up items, and deliverables to assist leadership in meeting organizational goals.

Communication & Customer Service

Professionally answer and direct phone calls, emails, and visitor inquiries.
Communicate effectively with residents, families, employees, healthcare professionals, vendors, and community partners.
Draft routine correspondence and assist with internal communications.
Help maintain positive relationships through responsive, courteous, and professional service.

Purchasing & Vendor Coordination

Assist with purchasing office and operational supplies.
Prepare expense documentation and receipts as requested.
Coordinate deliveries, vendor appointments, and service requests.
Help maintain company vehicle records, keys, maintenance scheduling, and usage logs as assigned.

Additional Responsibilities

Assist with special projects across SeniorCare Homes and affiliated companies as needed.
Provide occasional administrative support for Human Resources, Finance, Operations, or Marketing initiatives.
Perform other administrative duties consistent with the needs of a growing organization.

Pay: $20.00 - $25.00 per hour
