Job Overview

We are seeking a dynamic customer service and highly organized Office Assistant to join our team! This vital role is designed for someone who thrives in a fast-paced environment, provides exceptional customer service, excels at multitasking, and is passionate about maintaining smooth office operations. As an Office Assistant, you will be the first point of contact for customers, manage administrative tasks with efficiency, and support various office functions to ensure productivity and professionalism. Your energetic approach and attention to detail will help foster a welcoming atmosphere while keeping daily operations running seamlessly. This position offers an excellent opportunity to develop your administrative skills and grow within a vibrant team.

Responsibilities

Greet customers and answer multi-line phone systems, while providing helpful and friendly assistance to our many wonderful customers.
Perform data entry tasks accurately using spreadsheets, word processing, and bookkeeping tools such as QuickBooks for payments and creating invoices.
Handle clerical duties including filing, proofreading documents, helping to obtain and stay current with all licensing for company vehicles and city contracts, as well as being the contact for our donations and events, while also maintaining organized office records.
Support office management by overseeing and maintaining supply inventory.
Assist with customer service by responding to inquiries promptly and providing exceptional client communication.
Maintain a clean, organized front desk area and ensure all office procedures align with company standards.

Experience

Proven office experience with strong computer skills including Microsoft Office (Word, Excel) and familiarity with spreadsheets.
Prior experience in administrative support or clerical roles demonstrating organizational skills and time management.
Experience with phone communication, data entry, taking payments and creating invoices with our bookkeeping program, QuickBooks preferred.
Demonstrated proficiency in office tasks, reliability as a team member, great client communication, and technical literacy.
