Part-Time Administrative Assistant

Raven Heir Tracing LLC
Florida

Pay: $22.00–$35.00 per hour (based on experience)

Job Type: Part-time

Expected Hours: Approximately 20 hours per week

Schedule

Approximately 20 hours per week
3 days per week
Flexible days and hours
Hybrid position
Must be available to work in our Florida office 1 day per week
Remaining hours may be completed remotely, as agreed

About Us

Raven Heir Tracing LLC is a professional heir tracing and probate genealogy firm serving law firms, estate administrators, government agencies, financial institutions, investigative firms, and private clients throughout the United States, Canada, and internationally.

We specialize in locating missing heirs and beneficiaries, probate genealogy, family history research, and investigative support on complex estate matters.

We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our growing Florida operation. This position is ideal for someone who enjoys professional writing, organization, problem-solving, and working in a business where your contributions truly make an impact.

Responsibilities

Responsibilities include, but are not limited to:

Managing and responding to client emails
Preparing invoices and maintaining client records
Assisting with professional investigative and genealogical report writing
Proofreading reports and correspondence
Organizing digital files and case documentation
Scheduling meetings, appointments, and follow-ups
General administrative and office support
Assisting with light marketing initiatives, including social media, and email campaigns
Conducting basic online research as required
Supporting ongoing investigations and projects
Maintaining strict confidentiality regarding clients, investigations, and company information. A Non Disclosure Agreement is required for this position.

Qualifications

The ideal candidate will possess:

Excellent written and verbal communication skills
Strong grammar, spelling, and professional writing ability
Exceptional attention to detail
Strong organizational and time-management skills
Professional email and telephone etiquette
Ability to work independently with minimal supervision
Proficiency with Microsoft Office and Google Workspace
Ability to learn new software and online research platforms quickly
High level of integrity and discretion when handling confidential information

Preferred Experience

Experience in one or more of the following is considered an asset:

Administrative support
Executive assistance
Legal services
Private investigations
Probate or estate administration
Genealogy or family history research
Marketing or communications
Bookkeeping and invoicing
Professional report writing

Compensation

$25.00–$35.00 per hour depending on experience and qualifications
Approximately 20 hours per week
Opportunity for additional hours as the company continues to grow

Additional Bonus Opportunity

Business development and client acquisition are not expected responsibilities of this position.

However, we believe in rewarding initiative. If you independently introduce a new client to Raven Heir Tracing during your employment, you will receive a 10% bonus on all work completed for that client—including both the initial engagement and any repeat business they bring to the company while you remain employed with Raven Heir Tracing.

There are no sales quotas or expectations. This bonus is simply our way of recognizing employees who help our company grow through their own networking and relationships.
