Full Job Description

The Procurement Manager is responsible for leading and optimizing purchasing and supply chain operations to ensure the timely, cost-effective, and efficient acquisition of goods and services. This role oversees procurement strategy, strategic sourcing, supplier relationship management, contract negotiations, and vendor performance. The successful candidate will manage purchasing activities, monitor inventory and order fulfillment, maintain procurement records, and collaborate with cross-functional teams to drive operational efficiency, cost savings, and supply chain resilience. The Procurement Manager will also ensure compliance with company policies, regulatory requirements, and procurement best practices.

Professional Duties

Lead procurement activities for products, materials, services, and equipment in alignment with organizational needs and approved budgets.
Develop, implement, and maintain Materials Management policies and procedures to ensure efficient and compliant use of resources.
Oversee sourcing activities and manage relationships with approved suppliers to support effective procurement operations.
Prepare, process, and approve purchase orders in accordance with company policies and procurement standards.
Communicate with vendors regarding quotations, pricing, delivery schedules, and order status to ensure timely fulfillment.
Track purchase orders and coordinate timely delivery of goods and services, resolving any supply or delivery issues.
Compare supplier quotations and prepare cost analysis reports to support cost-effective purchasing decisions.
Monitor inventory levels and coordinate replenishment requests to maintain operational continuity.
Maintain accurate procurement records, supplier databases, and contract documentation in compliance with organizational and regulatory requirements.
Oversee storage, distribution, accounting, and disposal of medical and office supplies and equipment in accordance with applicable safety and regulatory guidelines.
Oversee maintenance, inspection, and repair coordination for medical equipment, including Durable Medical Equipment, ensuring compliance with safety standards.
Ensure proper storage, retention, and disposal of company records in accordance with internal policies and regulatory requirements..
Maintain Material Safety Data Sheets (MSDS) and ensure accessibility in compliance with OSHA and company safety requirements.
Participate as an active member of the safety committee and support reporting and resolution of hazardous materials and safety issues.
Manage departmental budgets and expenses in collaboration with the department director to ensure cost control and financial accountability.
Monitor supplier performance and identify opportunities for cost reduction, quality improvement, and process efficiency.
Collaborate with internal departments to assess procurement needs and ensure alignment with operational requirements and timelines.
Directs and effectively coordinates activities of personnel engaged in all areas of Materials Management.
Facilitates staff meetings to ensure appropriate communication of new policies and procedures and departmental information.

Qualifications

High school diploma or equivalent required. Bachelor’s degree in Business Administration, Supply Chain Management, Procurement in the medical field preferred.
4 years of experience in procurement, purchasing, or administration required; experience in the medical field preferred
2 years in management required.
Ability to utilize Microsoft Office Suite applications/software (Word, Excel, Power Point, Excel).
Ability to utilize Mas 90 and Envi or other Procurement Module (ERP).
Ability to communicate effectively with individuals within all levels of the organization, patients, providers, vendors and others.
Ability to work independently. Ability to utilize critical thinking and judgement to problem solve.
Basic understanding of procurement and supply chain concepts
Strong negotiation and coordination skills.
Current California’s Driver’s License and proof of auto insurance.

Lifting: 0 - 45 lbs. (equipment, supplies) approximately >10% of day.
Bending: Approximately >10% of day. Kneeling < 10%.
Hearing/Visual Acuity: Adequate for use with computers, telephone/mobile devices and other office equipment approximately 50% of day.
Computer: Highly technical work environment. Must be able to work minimum of 6 hours a day using computers, telephone/mobile devices and other office equipment.
Reaching: Above head 75 degrees approximately 25% of day.
Hand grip dexterity: Approximately 40% of day.
