Full Job Description

Position Summary

We are seeking an experienced, highly organized Property Management Financial Operations Manager to oversee the financial and operational functions of our growing property management company. This role is primarily responsible for managing the company's financial operations while supporting key property management and operational processes. The position serves as the central point of coordination between property owners, tenants, HOA boards, vendors, the bookkeeper, and the internal operations team to ensure financial accuracy, regulatory compliance, and exceptional customer service.

We are a growing property management company committed to providing exceptional service to our property owners, tenants, and homeowners' associations. We value accuracy, accountability, teamwork, and proactive communication.

The ideal candidate has experience using AppFolio or a similar property management software platform and understands owner accounting, tenant accounting, trust accounting, banking, and financial operations within a property management environment. They are detail-oriented, possess excellent communication and problem-solving skills, and thrive in a fast-paced environment while managing multiple priorities.

Key Responsibilities

Financial Operations

● Oversee accounts receivable and accounts payable functions.

● Manage owner distributions and property management fee processing.

● Process broker commissions, leasing commissions, referral commissions, and other

agent payments.

● Review owner statements for accuracy prior to monthly distributions.

● Review and oversee the work of the bookkeeper to ensure timely and accurate financial

processing.

● Collaborate with the bookkeeper to complete monthly reconciliations and maintain

accurate financial records.

● Monitor company and trust bank accounts throughout the month, investigate

discrepancies, and ensure sufficient funding for operational and owner transactions.

● Track certificates of deposit (CDs), account balances, and banking activity.

● Scan and process rent checks and other financial documents.

● Maintain compliance with trust accounting procedures and company financial policies.

● Oversee delinquency reporting and collection efforts, including preparing and issuing

Pay or Quit Notices (PorQ), coordinating certified mailings, and communicating with

owners and tenants throughout the collection process.

Property & Account Management

● Serve as the primary financial point of contact for property owners and tenants.

● Resolve owner and tenant questions related to rent, payments, account balances, and

financial activity.

● Process tenant move-outs, including final accounting and coordination with the

operations team.

● Oversee tenant, owner, and HOA onboarding to ensure complete and accurate account

setup.

HOA & Community Relations

● Serve as the primary liaison for HOA boards and homeowners regarding financial

matters.

● Resolve homeowner account questions, assessments, billing concerns, and other

financial issues.

● Maintain professional relationships with HOA board members and ensure timely

communication.

Operations Coordination

● Work closely with the operations team regarding vendors, maintenance billing, move-ins,

move-outs, commissions, and other property-related financial matters.

● Coordinate with vendors to resolve invoicing and payment issues.

● Ensure operational workflows are completed accurately and on schedule.

Administrative & Compliance

● Sort, scan, and distribute incoming mail.

● Maintain organized digital records and financial documentation.

● Ensure accurate processing and filing of financial and operational documents.

● Communicate with the Montgomery County Housing Authority (MCHA) regarding

Section 8 Housing Choice Voucher rental assistance, payments, inspections, and tenant

account matters.

Qualifications

● Three or more years of property management experience preferred.

● Experience with AppFolio or a similar property management software platform is

strongly preferred.

● Strong knowledge of accounts payable, accounts receivable, owner accounting, trust

accounting, and banking procedures.

● Experience working with homeowners' associations (HOAs), residential rentals, and

owner relations.

● Knowledge of delinquency procedures, collections, and landlord-tenant processes.

● Excellent organizational and time management skills with the ability to prioritize multiple

deadlines.

● Strong written and verbal communication skills.

● Exceptional attention to detail and strong problem-solving abilities.

● Proficiency with Microsoft Office, particularly Excel, and property management software.

Preferred Skills

● Experience managing owner distributions and commission processing.

● Familiarity with Section 8/Housing Choice Voucher programs.

● Experience supervising or coordinating bookkeeping functions.

● Ability to work independently while collaborating across multiple departments.

● Commitment to providing outstanding customer service while maintaining accuracy and professionalism.

Pay: $60,000.00 - $70,000.00 per year
