Overview

We are seeking a dynamic and organized Administrative Assistant/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. As the first point of contact, you will create a welcoming environment for patients, visitors, and staff while managing essential office tasks with efficiency and professionalism. This paid position offers an exciting opportunity to develop your office management skills in a fast-paced, supportive environment.

Duties

Greet patients, answer multi-line phone systems, and direct calls with professionalism and courtesy
Manage front desk operations including scheduling appointments, handling inquiries, and maintaining a tidy reception area
Perform data entry tasks using productivity software such as Microsoft Office, Google Workspace.
Assist with office management duties including filing, organizing documents, and maintaining office supplies inventory
Support client communication through phone, email, and in-person interactions while ensuring excellent customer service and phone etiquette.

Requirements

Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and general computer literacy
Excellent communication skills with the ability to handle phone communication professionally in a fast-paced environment
Bilingual abilities are a plus to serve diverse clients effectively
Experience with multi-line phone systems, data entry, filing, and proofreading is highly desirable
Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Knowledge of office management practices including calendar management and client communication techniques
Technical proficiency in office productivity software such as spreadsheets and typing skills for efficient data entry
Previous experience as a receptionist or administrative assistant in medical or dental settings is advantageous but not required
Personal assistant experience or familiarity with medical/dental receptionist duties will be considered an asset
