Full Job Description

BHI Coatings is looking for a detail-oriented, highly organized Construction Billing & Project Administrator to keep our day-to-day operations running smoothly. This role is central to our job costing, invoicing, and front-office operations — you'll be the person who makes sure every job's time and materials are tracked accurately, every invoice goes out correctly, and every call gets answered.

We need someone who thrives on multitasking, doesn't let details slip, and can juggle phones, paperwork, and deadlines without missing a beat.

Responsibilities

Enter and track time and materials (T&M) for each job, ensuring accuracy across all job files
Maintain accurate, up-to-date timekeeping records for field and office staff
Prepare and process customer invoicing in a timely manner
Answer incoming calls, direct inquiries, and provide excellent customer service
Enter and organize receipts, matching them to the correct jobs/accounts
Maintain organized job files and administrative records
Support day-to-day office operations and assist management with administrative tasks as needed
Communicate with field crews to ensure job data is complete and accurate

Qualifications

Highly detail-oriented with strong organizational skills
Proven ability to multitask and manage competing priorities in a fast-paced environment
Experience with time and materials tracking, job costing, or invoicing (construction/coatings/trades industry a plus)
Comfortable with basic bookkeeping tasks (receipts, invoicing, data entry)
Strong phone etiquette and communication skills
Proficiency with office software (e.g., Microsoft Office, QuickBooks, or similar job-costing/accounting software)
Reliable, self-motivated, and able to work independently as well as part of a team
Prior office management in construction or administrative experience preferred

Pay: From $50,000.00 per year
