Full Job Description

Job Summary:

The Receptionist serves as the first point of contact for clients, visitors, and vendors, creating a welcoming and professional experience that reflects the values of the firm. This position requires exceptional communication, customer service, and multitasking skills, along with a professional demeanor and a basic understanding of legal terminology and procedures. The Receptionist is responsible for managing the front desk, answering and directing incoming calls, handling client inquiries, scheduling appointments, and performing a variety of administrative tasks that support the daily operations of the firm. Success in this role requires strong organizational skills, attention to detail, a positive attitude, and a willingness to adapt to changing priorities, procedures, and firm needs. Flexibility, reliability, and a commitment to providing outstanding client service are essential.

Key Responsibilities:

Front Desk Management:

Greet clients, visitors, and vendors in a professional and courteous manner.
Manage the flow of visitors and maintain a clean and organized reception area.
Ensure all visitors are directed to the appropriate team member.

Telephone Management:

Answer incoming phone calls promptly and professionally.
Screen and direct calls to the appropriate team member.
Take detailed messages and ensure they are delivered promptly.

Client Interaction:

Handle client inquiries and provide general information about the firm’s services.
Schedule and confirm client appointments and consultations.
Assist clients with basic forms and documents as required.

Administrative Support:

Sort and distribute incoming mail and deliveries.
Prepare outgoing mail, including legal documents, certified mail, and courier services.
Assist with copying, scanning, and filing documents as needed.
Printing and organizing documents for client meetings.
Maintain office supplies and manage inventory levels for the front desk.

Data Entry & Record Keeping:

Update client contact information and maintain accurate records in the firm’s database.
Assist with data entry and basic document preparation under the direction of legal staff.

Confidentiality & Compliance:

Ensure that all client and firm information is handled with the highest level of confidentiality.
Adhere to all legal and ethical standards in the handling of sensitive information.

Additional Required Duties:

Provide general administrative support to all team members as needed.
Participate in staff meetings and training sessions as required.
Run various errands such as post office and picking up lunches for firm meetings and events.
Participate in client signings as a witness or notary if necessary.
Perform other duties necessary.
Maintain cleanliness and overall appearance of common areas.

Qualifications:

2-3 years of experience in a receptionist or administrative role is required; additional training or education in legal studies is a plus.
Proficient in Microsoft Office Suite (Word, Excel and Teams).
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to work independently and manage multiple tasks in a fast-paced environment.
Professional appearance and demeanor.
Basic knowledge of legal terminology and procedures is preferred.

Working Conditions:
This position requires working in a professional office environment. As Receptionist, you may need to handle multiple tasks simultaneously and work under occasional pressure. This position may require the ability to work extended hours on occasion, depending on the needs of the firm.
