Position Summary
The Sales & Member Services Coordinator serves as the primary point of contact for members, guests, students, and prospective customers. This position is responsible for front desk operations, membership sales, lodging reservations, event registrations, retail sales, customer service, and supporting the continued growth of Colemans Creek through proactive sales, relationship building, and exceptional customer experiences.
This is not solely an administrative or receptionist position. Success in this role requires actively promoting memberships, training programs, competitions, lodging, retail products, and corporate experiences while identifying opportunities to increase revenue and customer engagement.
As a premier long-range shooting and firearms training facility, Colemans Creek requires all Sales & Member Services Coordinators to possess a strong working knowledge of firearms, firearm safety, suppressors, optics, ammunition, shooting accessories, and range operations. This individual must be comfortable discussing firearms-related products and services, answering technical questions, recommending appropriate memberships, training programs, and equipment, and assisting members and guests both inside the clubhouse and throughout the range facility.
This position regularly interacts with customers in active range environments and may assist members, guests, and students with firearms, optics, suppressors, equipment setup, and basic troubleshooting while ensuring all interactions are conducted safely and in accordance with Colemans Creek policies and procedures.
Because most classes, competitions, corporate events, and member activities occur on weekends, this position requires regular weekend availability. Weekend work should be expected as a normal part of the schedule, with weekday flexibility provided whenever operational demands allow.
Primary ResponsibilitiesFront Desk & Customer Service
- Serve as the primary front desk representative for members, guests, students, and visitors.
- Answer incoming phone calls, emails, website inquiries, and customer communications promptly and professionally.
- Greet and check in members, guests, students, and event participants.
- Assist customers with range access, facility information, scheduling, memberships, and directions.
- Maintain a professional, welcoming, and customer-focused environment.
- Resolve customer concerns and escalate issues to management when appropriate.
- Ensure all waivers, registration forms, and required documentation are completed and maintained.
- Assist members, guests, and students throughout the facility, including providing customer support on the range and in training areas.
- Provide basic assistance with firearms, optics, suppressors, and shooting equipment while ensuring all interactions comply with Colemans Creek safety policies.
- Answer customer questions regarding firearm operation, equipment setup, range procedures, and safety, or direct customers to instructors or range staff when advanced technical assistance is required.
Membership Sales & Retention
- Actively promote and sell memberships to prospective customers.
- Conduct professional facility tours for prospective members and guests.
- Follow up on membership inquiries through phone calls, email, and CRM systems.
- Assist with membership renewals and retention efforts.
- Maintain accurate membership records and customer databases.
- Identify opportunities to upgrade memberships and increase member engagement.
- Build long-term relationships with members through regular communication and follow-up.
- Support member onboarding and orientation processes.
Training & Event Sales
- Assist customers with course registrations and event sign-ups.
- Promote training programs, competitions, special events, and corporate experiences.
- Follow up with prospective students and participants to increase registrations.
- Coordinate participant communications before and after events.
- Maintain registration records and attendance information.
- Assist with event preparation and administrative support.
Lodging Sales & Reservations
- Manage lodging inquiries, reservations, and guest communications.
- Coordinate room assignments and reservation schedules.
- Process lodging payments and maintain reservation records.
- Communicate check-in and check-out procedures to guests.
- Work with facility staff to ensure rooms are prepared for incoming guests.
- Identify opportunities to increase lodging occupancy and revenue.
Corporate & Group Sales Support
- Assist with corporate event inquiries and lead generation.
- Identify new business opportunities through inbound inquiries, referrals, networking, and customer interactions.
- Support scheduling and coordination of corporate events, private groups, and training programs.
- Maintain communication with prospective and existing corporate clients.
- Assist with preparing proposals, quotes, and customer information packages.
- Support management with customer follow-up and relationship development.
Administrative Support
- Maintain customer records, spreadsheets, reservation systems, and CRM databases.
- Process payments, registrations, retail sales, and membership transactions accurately.
- Assist with reporting and tracking sales performance metrics.
- Maintain organized filing systems and customer records.
- Support scheduling and calendar management.
- Assist management with administrative projects as assigned.
Retail & Merchandise Support
- Assist customers with retail purchases and product recommendations.
- Maintain organized and attractive retail displays.
- Process retail transactions accurately.
- Monitor inventory levels and communicate restocking needs.
- Support promotional sales and merchandising initiatives.
Marketing & Customer Outreach
- Conduct follow-up calls and emails with prospective customers.
- Support email marketing and promotional campaigns.
- Encourage Google reviews and customer feedback.
- Assist with gathering customer testimonials and success stories.
- Help promote memberships, training courses, competitions, lodging, retail offerings, and special events.
- Maintain positive relationships with members, guests, and customers.
Other Duties
- Assist with competitions, special events, corporate functions, and facility activities as needed.
- Support instructors and range staff during busy operational periods.
- Participate in staff meetings and ongoing training.
- Perform other duties as assigned to support business growth and exceptional customer service.
Requirements
- High school diploma or equivalent required.
- Strong customer service, communication, and interpersonal skills.

- Strong organizational and multitasking abilities.
- Comfortable using computers, Microsoft Office, Google Workspace, email, spreadsheets, CRM software, reservation systems, and point-of-sale systems.
- Ability to work independently and collaboratively as part of a team.
- Valid driver's license and reliable transportation.
- Working knowledge of firearms, firearm safety, suppressors, optics, ammunition, shooting accessories, and range operations is required.
- Must be comfortable safely handling and demonstrating firearms when appropriate, assisting customers with basic firearm and equipment questions, and providing customer support both inside the clubhouse and throughout the range facility while following all range safety policies and procedures.
- Ability to confidently discuss memberships, training programs, competitions, lodging, firearms, optics, suppressors, ammunition, and related equipment with customers is required.
- Must be willing and able to work a flexible schedule that includes regular weekends, occasional evenings, holidays, and special events.
- Understand that weekends are a core part of Colemans Creek operations. Consistent weekend availability is required to support training courses, competitions, lodging guests, corporate events, and front desk operations.
Preferred Qualifications
- Previous experience in sales, hospitality, membership services, retail, or customer service.
- Experience with CRM, reservation, or membership management systems.
- Experience working in outdoor recreation, hospitality, shooting sports, or event venues.
- Experience with social media, customer communications, and marketing.
- Proven ability to meet sales goals and performance metrics.
- Experience in the firearms industry, military, law enforcement, competitive shooting, outdoor recreation, or firearm retail environments.
- Familiarity with precision rifle shooting, long-range shooting, suppressors, optics, hunting, and modern sporting rifles.
- Experience recommending firearms-related products, services, and training based on customer needs.
Physical Requirements
- Ability to stand and walk for extended periods.
- Ability to spend significant time outdoors assisting customers throughout the facility.
- Ability to lift and carry up to 40 pounds.
- Ability to safely transport and handle unloaded firearms and shooting equipment when assisting members, instructors, or guests.
- Ability to walk between ranges over uneven terrain while carrying equipment.
- Ability to work indoors and outdoors in varying weather conditions.
- Ability to operate golf carts and other facility vehicles when required.

Schedule Expectations
This is not a traditional Monday–Friday position. Candidates should expect to work most weekends throughout the year, as weekends represent the busiest operational period at Colemans Creek. Training courses, competitions, member activities, lodging operations, and corporate events primarily occur on Fridays, Saturdays, and Sundays. Schedule flexibility during weekdays will be provided whenever business needs allow.
