Full Job Description

Accounts Payable – Property Management Experience

Location: El Dorado Hills, CA
Employment Type: Full-Time

Reports To: Accounting Manager

About the Role

We are seeking a detail-oriented and organized Accounts Payable Person with hands-on experience using Yardi property management software to join our accounting team. This position will be responsible for managing the full accounts payable cycle for a portfolio of properties, ensuring accurate and timely processing of invoices, payments, vendor records, and property-related expenses.

The ideal candidate has strong knowledge of property management accounting, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Process, code, and accurately enter vendor invoices into Yardi Voyager 7S, QuickBooks Desktop, and other related accounting systems.
Review invoices for proper approvals, coding, supporting documentation, and compliance with company policies.
Manage the full accounts payable cycle, including invoice processing, payment preparation, and vendor communications.
Reconcile vendor statements and investigate discrepancies.
Maintain accurate vendor records, including tax information for W-9’s and payment details for year end 1099 processing with accounting manager.
Process recurring invoices, utilities, property expenses, and other operating costs.
Assist with monthly and year-end closing activities.
Prepare accounts payable reports and provide supporting documentation for audits.
Coordinate with property managers, vendors, and internal accounting staff to resolve invoice and payment issues.
Monitor payment deadlines and help ensure timely payments.
Support accurate expense allocation across properties, entities, and cost centers.
Maintain organized electronic and physical accounting records.
Perform other accounting and administrative duties as assigned.

Qualifications

2+ years of accounts payable or accounting experience, preferably in property management or real estate.
Hands-on experience with accounting software required.
Strong understanding of invoice processing, expense coding, vendor management, and account reconciliations.
Knowledge of property-level accounting and multi-entity environments preferred.
High level of accuracy and attention to detail.
Strong organizational and time-management skills.
Ability to meet deadlines and manage a high volume of transactions.
Proficiency with Microsoft Excel and Microsoft Office.
Strong written and verbal communication skills.
Ability to work independently while collaborating effectively with a team.
Willingness to assist with other accounting functions as needed.

Preferred Qualifications

Experience with Yardi Voyager 7S and QuickBooks Desktop Software.
Experience processing invoices for multiple properties or entities.
Knowledge of real estate or property management accounting practices.
Experience with month-end close procedures.
Associate's or bachelor's degree in accounting, finance, business, or a related field.
