Job Overview
We are seeking a dynamic and organized Administrative Assistant with a preference for bilingual candidates, those fluent in Spanish. This vital role involves providing exceptional administrative support to ensure smooth office operations and excellent customer service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to manage a variety of clerical tasks, coordinate schedules, handle client interactions, and maintain confidential information with professionalism. Responsibilities

Manage front desk duties, including greeting visitors and clients warmly and professionally
Handle data entry tasks accurately using Microsoft Office and Google Workspace tools
Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents
Assist with calendar management and scheduling appointments for team members or clients
Provide excellent customer service by responding promptly to inquiries via phone or email in both English and Spanish when needed
Manage confidential information carefully, ensuring privacy standards are upheld at all times

Requirements

High school diploma or equivalent required; some college preferred
Proven office management or administrative experience in a fast-paced environment
Strong computer literacy with proficiency
Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading
Bilingual abilities in English and Spanish are preferred; exceptional communication skills in both languages are essential
Demonstrated ability to handle professional phone etiquette
Ability to handle confidential information with professionalism and discretion
Ability to manage time effectively, prioritize tasks, and adapt to changing priorities seamlessly
Previous experience working at a front desk or in customer support roles is advantageous
