Job Description:

PRIMARY PURPOSE/GENERAL DESCRIPTION:

Reporting to the Mail Center Supervisor, the Mail Center Clerk I is responsible for processing and distributing incoming and outgoing mail and packages for faculty, staff, and students. The position provides customer service, maintains package and mailbox records, loads package lockers, and performs campus deliveries to help ensure efficient service to the College community.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

This information is intended to describe the key responsibilities of the position. The list of essential functions below does not identify all duties performed by any single incumbent in this position. The employee may be required to perform other duties as assigned.

Receive, sort, process, track, and distribute U.S. mail, campus mail, and packages in a timely manner.
Operate Mail Center equipment, package lockers, and delivery vehicles safely and accurately.
Prepare, process, and deliver mail and packages using appropriate equipment and systems.
Maintain accurate departmental records, including package tracking, mailbox management, inventory, and billing information.
Provide professional customer service and accurate information regarding Mail Center procedures, postal services, and shipping options.
Maintain a professional and customer service-oriented environment while communicating effectively with students, faculty, staff, vendors, and visitors.
Follow established procedures, policies, safety requirements, schedules, and supervisory instructions, exercising sound judgment and communicating operational concerns as appropriate.
Complete assigned duties accurately, efficiently, and within established timelines while adapting to changing operational needs.
Maintain reliable attendance, adhere to assigned schedules, and provide appropriate work area coverage.
Work independently and collaboratively to support Mail Center operations and respond appropriately to supervision, feedback, and procedural changes.
Perform administrative and clerical duties, including recordkeeping, billing support, mailbox administration, mail forwarding, and departmental communications.
Maintain clean, organized, safe, and secure work areas, equipment, and vehicles.
Protect the confidentiality and security of mail, packages, customer information, and departmental records, and promptly report operational issues, safety concerns, or damaged or missing items.
Actively support the College’s Principles of Community and Institutional Values in the performance of job duties.
Perform all other related duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES:

The individual must possess the knowledge, skills, and abilities necessary to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using another combination of skills and abilities.

Ability to read, write, understand, and follow oral and written instructions, policies, procedures, schedules, and safety requirements.

Ability to prioritize work, remain organized, manage multiple assignments, meet deadlines, and remain productive in a fast-paced environment.
Excellent customer service, interpersonal, verbal, and written communication skills, including ability to respond professionally to questions, concerns, or challenging situations.
Proficiency with Microsoft Office, particularly Word, Excel, and Outlook, and the ability to learn and effectively use package-tracking, shipping, mailbox management, and other departmental software.
Ability to operate mail-processing equipment, package lockers, postage meters, computer systems, and other equipment used in Mail Center operations.
Demonstrated reliability, integrity, adaptability, and commitment to providing high-quality service.

QUALIFICATION STANDARDS:

EDUCATION & EXPERIENCE:

High school diploma or equivalent, or any combination of education, training, and experience that provides the required knowledge, skills, and abilities necessary to perform the essential functions of the position.

Six months to one year of general office, mailroom, shipping and receiving, logistics, retail, customer service, or related environment, preferably in a fast-paced setting with multiple priorities is preferred.

Experience operating postage meters, package-tracking systems, shipping software, package lockers, or golf cart-type vehicles is preferred but not required.

LICENSES / CERTIFICATES:

The employee may be required to successfully complete College-approved training before operating golf carts or other authorized College vehicles.

HOURS , CLASSIFICATION AND STATUS:

This is a regular status, full-time, benefits-eligible, non-exempt position.

The regular hours for this position are Monday-Friday 8:00 am-5:00 pm. Hours may vary due to the needs of the College or department.

Hourly rate range: $21.00-$22.50. The hourly rate of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to internal equity, experience, education, specialty, and training.

The work environment may be fast-paced and include frequent interruptions, competing priorities, repetitive tasks, periods of high package volume, and regular interaction with faculty, staff, students, vendors, and visitors.

Physical and Mental Requirements

Ability to maintain good concentration level while dealing with interruptions; attention to details with emphasis on accuracy; capable of giving, receiving, and analyzing information, formulating work plans, and articulating goals and action plans.

Sitting in a normal seated position for extended periods of time. Standing for extended periods of time. Reaching and extending hand(s) or arm(s) in any direction. Finger dexterity required to manipulate objects with fingers rather than the whole hand(s), or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters. Ability to hear within normal parameters. Ability to bend and stoop, for example, to file. Ability to move about. Ability to lift and move items up to 40 lbs., or heavier by using a dolly or a two-person lift/carry, for example to lift or move office supplies, files, books, and packages.
