Full Job Description

Optim Orthopedics is seeking a full time Therapy Front Desk Supervisor for our Savannah, GA location.

Job Requirements:

Provides administrative direction of the daily activities of Operation’s front desk department including scheduling, adjusting hours and shifts, and work assignments.
Ensures adequate staffing by providing support as needed to various front office positions.
Demonstrates a courteous, friendly and professional demeanor while he/she greets and checks in patients, visitors and vendors. Portrays the same demeanor while answering and routing phone calls. Illustrates efficiency regarding patient and doctor inquiries by responding to their needs in a timely manner.
Reconciles Front Office staff daily collections and prepares bank deposit. All supporting documentation scanned into the practice file for backup.
Works as Front Desk liaison to Clinical Staff.
Handles Patient and Customer complaints or directs the patient to the appropriate person.
Works as back up to Front Desk Representatives as needed.
Maintains a high level of confidentiality when servicing patients.
Ensures staff are assigned at their work station and ready to start each day to maintain effective clinic flow. Will require Manager to be available and onsite prior to first patient check-in (expected hours 700 a.m. to 600 p.m.) Orders and maintains office supplies and inventory.
Collaborates, with Operation’s management team, in the recruiting, on-boarding process, and training of new hires. Participates in the recruitment of new hires. Interviews job candidates and reviews resumes as needed for Front Office positions.
Provides daily, weekly, and monthly reports to the Director of Operations or Administrative team.
Assists with the reviews employee performance and job descriptions as scheduled or at least annually. Will provide verbal counseling for staff disciplinary action at the direction of the Manager or Director.
Resolves or coordinates maintenance issues and repairs, inputs facility maintenance requests or other facilities-related matters. Inputs any IT requests and facilitates resolution for IT issues for staff.
Facilitates, with other management team members, resolution of any administrative problems and keeps lines of communication open, with staff and Director of Operations, to ensure high employee morale and a professional, healthy atmosphere. Interprets and enforces department and institution policies.
Monitors time clock activities and provides recommendations for overtime.
Coordinates and facilitates student shadowing opportunities within the practice as needed.
Coordinates the process and schedules depositions or meetings with attorneys and medical providers Assist with scheduling luncheons or meeting with pharmaceutical reps with providers.
Supports marketing and promotion initiatives Maintains area of special assignment.
Other duties as assigned
