Client Intake Coordinator / Legal Assistant

Franklin & Kyle Elder Law, LLC is seeking a professional, friendly, and highly organized Client Intake Coordinator / Legal Assistant to join our elder law firm in Knoxville, Tennessee.

This is a client-facing position and often the first voice or face our clients encounter when they contact our office. Many of our clients and their families are dealing with stressful situations involving aging, illness, long-term care, estate planning, probate, or the loss of a loved one. We are looking for someone who can make people feel welcomed, heard, and cared for while also keeping track of important details.

This position requires more than answering phones. The right person must be able to communicate clearly, handle confidential information, recognize when a matter needs urgent attention, and help clients feel comfortable during difficult life situations. We are looking for someone with strong judgment, professionalism, and a genuine desire to help people.

Primary Responsibilities

Responsibilities include:

Answering incoming phone calls in a warm, professional manner
Greeting clients and visitors
Scheduling consultations and appointments
Gathering basic information from prospective clients
Communicating with clients, family members, referral sources, and professionals
Preparing and sending intake forms and appointment materials
Maintaining accurate client and contact information in our case management system
Assisting attorneys, social workers, and staff with administrative tasks
Scanning, saving, and organizing documents
Helping keep the front office organized and running smoothly
Protecting client confidentiality at all times

What We Are Looking For

The ideal candidate will have:

Excellent verbal and written communication skills
A friendly, patient, and professional demeanor
Strong attention to detail
Good judgment and common sense
The ability to handle sensitive conversations with compassion
Comfort speaking with older adults, family members, and professionals
Reliability and punctuality
The ability to follow procedures while also thinking critically
Basic computer skills, including Microsoft Office, email, and document management
A willingness to learn

Prior law office experience is helpful, but not required. Experience in customer service, medical office administration, social services, banking, hospitality, or other professional office settings may also be a good fit.

Requirements

High school diploma or equivalent required
Some college, associate degree, or bachelor’s degree preferred
Prior administrative, client service, or office experience preferred
Must be comfortable working with confidential and sensitive information
Must be able to communicate professionally by phone, email, and in person

Schedule and Pay

This is a full-time, in-office position.

Pay: $16–$18 per hour, depending on experience and qualifications.
