About the Position
Sumsion Business Law is seeking a warm, highly organized and trustworthy HR & Office Operations Coordinator to join our team.
This is a unique, hands-on position combining human resources, employee support, office operations and firm culture. We are looking for someone who genuinely enjoys people, notices what needs to be done, follows through and helps create an organized, positive and professional workplace.
This individual will serve as our day-to-day, in-office HR presence and an approachable, neutral resource for employees. The position reports to our Fractional HR Officer and works closely with firm leadership, office management and our outside HR, benefits and IT providers.
We are looking for someone who can move comfortably between sensitive employee matters and the practical details of keeping a busy office running well.
Key Responsibilities
Human Resources & Employee Support
- Serve as an approachable and neutral HR resource for employees regarding workplace questions, concerns and interpersonal issues.
- Maintain confidentiality and use sound judgment when handling sensitive employee matters.
- Keep the Fractional HR Officer informed of employee concerns, workplace trends and matters requiring additional attention.
- Help facilitate professional communication and resolution of workplace concerns and know when an issue should be escalated.
- Manage the firm’s performance-review calendar, schedule reviews, attend reviews as needed and ensure appropriate follow-up is completed.
- Maintain the HR calendar and track important employee milestones, deadlines and required follow-up.
- Oversee employee onboarding and offboarding, including paperwork, office access, security badges, technology setup and coordination with appropriate team members.
- Maintain organized and accurate employee records and HR documentation.
- Serve as a liaison with our HR/benefits provider and assist employees with benefits-related questions and enrollment needs.
- Work with our Fractional HR professional on employment agreements, documentation and other HR matters.
- Assist with communicating firm policies, procedures and workplace expectations.
- Track action items arising from performance reviews, employee conversations and other HR matters to ensure appropriate follow-through.
Office Operations
- Assist with day-to-day office operations and help identify and address needs before they become problems.
- Coordinate office and desk assignments and assist with periodic office moves as new employees and teams join the firm.
- Coordinate with our IT provider regarding employee technology, system access, equipment and security needs.
- Help maintain organized, professional and welcoming common areas.
- Oversee practical office needs that may otherwise fall through the cracks, including monthly organization and clean-out of office refrigerators and kitchen areas.
- Assist with office supplies, employee resources and other operational needs as assigned.
- Work collaboratively with the Office Manager and other team members to keep the office running smoothly.
Firm Culture & Employee Experience
- Help create a workplace where employees feel welcomed, valued and comfortable asking for help.
- Assist with planning and coordinating firm activities, celebrations and employee events.
- Create and distribute internal event communications, flyers and invitations and help build enthusiasm and participation.
- Coordinate employee birthday recognition, including cards and office decorations.
- Coordinate seasonal office décor and help maintain a welcoming office environment.
- Assist with employee appreciation and recognition efforts.
- Look for opportunities to strengthen communication, connection and morale throughout the firm.
Training & Employee Development
- Assist with our twice-yearly new-paralegal training program and other employee orientation and training.
- Help coordinate schedules, presenters, rooms, materials and communications.
- Attend training sessions as needed and help ensure new employees have a positive onboarding experience.
- Track required training and follow up on outstanding items.
- Assist with other employee-development initiatives as needed.

Previous experience in human resources, employee relations, office management or a professional office environment is preferred. Law firm experience is helpful but not required.
Most importantly, we are looking for someone with excellent judgment, integrity, initiative and people skills who will become a trusted resource for both employees and leadership.
Schedule
This is an in-office position Monday through Friday, approximately 30–40 hours per week. There is some flexibility in the exact number of weekly hours for the right candidate, but consistent weekday presence in the office is an important part of this role.
Compensation
$25–$30 per hour, depending on experience and qualifications.
