Overview

We are seeking a dynamic and organized Marketing, Reception & Office Coordinator to join our vibrant team! This energetic role combines front desk responsibilities, office management, and marketing support to ensure smooth daily operations and a welcoming environment for clients and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to juggle multiple tasks efficiently. In this role, you will be the first point of contact for visitors and clients, manage administrative functions, and support marketing initiatives that help elevate our brand presence.

Responsibilities

Greet visitors, clients, and vendors warmly while managing multi-line phone systems with professionalism and courtesy.
Handle all phone reception duties, including answering inquiries, directing calls accurately, and maintaining phone etiquette.
Manage office supplies, organize files, and maintain a tidy and efficient workspace through effective filing and data entry.
Support marketing efforts by updating social media platforms, preparing promotional materials, and assisting with email campaigns.
Oversee calendar management for meetings and appointments using Google Workspace or Microsoft Office tools; coordinate schedules for team members.
Perform clerical tasks such as proofreading documents, preparing Word processing files, and maintaining accurate records using QuickBooks or other bookkeeping software.
Provide exceptional customer service by addressing client inquiries promptly and professionally while supporting administrative tasks like proofing correspondence and managing client communication.

Requirements

Bilingual proficiency is highly preferred to effectively communicate with diverse clients and team members.
Proven experience in office management or administrative roles with strong organizational skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with multi-line phone systems.
Prior office experience involving clerical duties such as filing, data entry, proofreading, and calendar management.
Strong customer service skills with the ability to handle phone reception professionally and maintain positive client interactions.
Knowledge of QuickBooks or similar bookkeeping software is a plus; experience in bookkeeping or personal assistant roles is advantageous.
Exceptional organizational skills combined with effective time management to prioritize tasks efficiently.
Ability to communicate clearly in both written and verbal forms; being bilingual is a significant asset.
Demonstrated ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
