Full Job Description

About the Role:

Within Design is seeking an experienced, highly organized Purchasing Manager to lead the purchasing and procurement process across our interior design projects. This role manages the full lifecycle of FF&E, decor, and materials from purchasing through installation, while ensuring project budgets, timelines, and details stay on track.

Working closely with our design team, company leadership, and vendor partners, the Purchasing Manager keeps projects moving smoothly from purchase order through final installation. This role also oversees the Purchasing Coordinator and two on-call warehouse employees and supports ongoing improvements to purchasing processes and operations.

What You’ll Do:

Purchasing & Project Coordination

Manage the full purchasing process for FF&E, décor, and materials from specification through installation.
Issue and track purchase orders, ensuring pricing accuracy and alignment with project budgets.
Partner closely with Project Managers and the design team to coordinate purchasing deadlines, project needs, and installation requirements.
Proactively monitor orders, backorders, missing items, damages, and claims through resolution.
Prepare and maintain project inventories and final client inventory documentation.
Run QuickBooks reports to support budget tracking, reconciliation, and cost management.

Shipping, Delivery & Installation

Coordinate shipping logistics, delivery schedules, and installation timelines across multiple projects.
Maintain the installation calendar and coordinate vendors, workrooms, subcontractors, and other partners to keep project deadlines on track.
Prepare for pre-installation and post-installation meetings and coordinate logistics with Project Managers.
Oversee accessory packing and other installation preparation to support accurate, on-time delivery.
Manage onsite storage and inventory of company furniture, art, and accessories.

Vendor & Trade Partner Management

Develop and maintain strong relationships with vendors, fabricators, subcontractors, and trade partners.
Identify opportunities to support competitive pricing, quality, reliability, and project needs.
Maintain Within Design’s preferred vendor database and evaluate supplier performance.
Ensure vendors and trade partners are appropriately set up, including required insurance documentation and W-9s.

Leadership & Process Improvement

Supervise and support the Purchasing Coordinator, providing direction, training, and ongoing development.
Partner with company leadership to improve workflows, resolve purchasing and operational challenges, and support strategic initiatives.
Provide ongoing training and communication to the team regarding procurement processes and purchasing requirements.
Develop, maintain, and improve purchasing policies, procedures, and documentation.

What We’re Looking For:

Proven experience in purchasing, procurement, or a similar operational role.
Experience managing purchasing processes, vendors, logistics, budgets, and project deadlines.
Experience leading or supervising employees.
Broad industry knowledge and strong business judgment.
Two or more years of interior design, architecture, FF&E, or related industry is preferred.
High school diploma or equivalent required. Bachelor's degree in Business, Finance, Operations Management, or a related field preferred.
Strong attention to detail and the ability to stay organized in a fast-paced, project-driven environment.
Excellent communication, collaboration, active listening, and customer service skills.
Strong critical-thinking, problem-solving, and decision-making abilities.
Comfortable working across multiple projects and priorities while proactively identifying and resolving issues.
Proficiency with general office technology and software; experience with QuickBooks is a plus.

Compensation & Benefits

Salary Range: $75,000 - $90,000

Physical Requirements:

This position is primarily performed in an indoor office environment and involves regular computer and desk work. The role also involves participation in project installations and inventory-related activities, which may require standing, walking, bending, reaching, and lifting or moving items weighing approximately 30–35 pounds. Some driving may be required.
