Job Overview
We are seeking a dynamic and organized Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your energetic approach and excellent communication skills will help streamline daily operations, manage administrative tasks, and support office management functions. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant team environment.

Responsibilities

Greet visitors warmly and direct them appropriately, maintaining a friendly and professional demeanor at all times
Manage multi-line phone systems efficiently, answering inquiries and routing calls with exemplary phone etiquette
Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, including filing, proofreading, and record keeping
Maintain organized front desk areas, including filing systems and reception supplies, ensuring a tidy and welcoming environment
Support office management activities such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
Assist with customer service by addressing inquiries promptly and providing support to clients or patients in person or over the phone
Perform clerical duties including photocopying, faxing, mailing, and managing incoming/outgoing correspondence

Experience

Previous office experience or administrative support roles preferred, especially in medical or dental reception settings
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly desirable to serve diverse client needs effectively
Demonstrated experience with multi-line phone systems and phone etiquette is essential
Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping (QuickBooks experience is a plus)
Prior customer service experience that highlights professionalism and effective communication skills
