Office Manager / Bookkeeper

Westhampton Beach, NY | Full-Time | In Office

We are a boutique luxury design-build construction company based in Westhampton Beach, specializing in high-end residential construction, commercial properties, and real estate management. Our team is lean by design—every member plays an important role, takes ownership of their work, and contributes directly to the success of the company.

We are looking for an experienced, highly organized professional who thrives in a fast-paced, ever-changing environment. This is not a traditional bookkeeping position. It is a dynamic role that combines bookkeeping, office management, project coordination, and administrative support across multiple companies, construction projects, and commercial properties.

Primary Responsibilities

Full-charge bookkeeping using QuickBooks
Accounts payable and accounts receivable
Bank and credit card reconciliations
Financial reporting and record management
Project administration and job cost tracking
Coordinating vendors, subcontractors, and project documentation
Managing office operations and administrative systems
Scheduling meetings, inspections, and appointments
Maintaining organized digital and physical filing systems
Assisting with commercial property management administration
Providing occasional executive and personal assistance to the owner and key leadership team
Identifying issues before they become problems and following through until completion

Qualifications

Strong QuickBooks experience (required)
Previous bookkeeping and office management experience
Excellent organizational and time management skills
Exceptional attention to detail and follow-up
Ability to manage multiple priorities without losing focus
Strong written and verbal communication skills
Self-motivated with the ability to work independently
Professional, positive, and solution-oriented attitude
Proficiency with Microsoft Office and Google Workspace
Construction industry experience is a strong plus
