Full Job Description

Position Overview:
Cal Spas is seeking a highly organized and detail-oriented Accounts Receivable Clerk to join our dynamic finance team. This role involves ensuring accurate invoicing, prompt cash application, and effective management of dealer accounts. In addition, the successful candidate will be responsible for performing account reconciliations and supporting general accounting functions—including Accounts Payable and journal entries—to maintain the overall integrity of our financial operations.

Key Responsibilities:

Invoicing & Billing:
Prepare and issue accurate invoices and credit memo billings for dealer accounts.
Process online billing transactions for prominent retailers such as Home Depot, Amazon, and Costco.
Cash Application:
Accurately apply daily cash receipts from checks, wires, finance arrangements, and credit card payments to the appropriate invoices.
Credit & Returns Processing:
Review and post credit returns from the warranty department, ensuring proper allocation of credits to claims and dealer invoices.
Account Reconciliations & General Accounting Support:
Perform regular account reconciliations to ensure dealer accounts remain accurate and free of past due balances.
Apply foundational accounting knowledge by supporting related functions, including Accounts Payable processing and the preparation of journal entries.
Administrative & Reporting Duties:
Execute invoice lookups, payment applications, research dealer deductions, process vendor claims, and handle administrative credits.
Generate daily and weekly financial reports related to shipping, credit memos, cash receipts, and finance.
Maintain balanced AR Aging and prepare daily close-out reports.
Post completed invoice batches from the Transportation and Parts departments, ensuring both accuracy and timely processing.
Submit finance billing to external financial partners (e.g., GE) post-shipment to secure timely payments.
Support & Collaboration:
Provide additional assistance to the Accounts Receivable Manager as needed to ensure seamless financial operations.

Required Skills & Qualifications:

Proficiency in Microsoft Word, Excel, and Outlook.
Experience with Epicor Enterprise is considered an asset.
Demonstrated ability with a minimum typing speed of 45 WPM and expertise in 10-key data entry by touch.
Competence in operating standard office equipment, including fax machines, copiers, and scanners.
Strong attention to detail, organization, and accuracy.
Excellent written and verbal communication skills.
Ability to work collaboratively within a team environment.
Foundational knowledge of general accounting principles, including experience with Accounts Payable and journal entries.
