Full Job Description

Patient Coordinator

Reports to: Dentist and office manager

The Patient Coordinator is responsible for managing and maintaining the office schedule to ensure an efficient, productive, and patient-centered flow within the dental practice. This position plays a critical role in ensuring patients receive timely care, optimizing productivity, and supporting the financial and reporting functions of the office.

1. Scheduling and Patient Management

· Manage and maintain a full, balanced schedule for all providers.

· Schedule, confirm, and follow up on appointments to reduce no-shows and cancellations.

· Contact overdue patients and maintain recall/re-care systems to maximize patient retention.

· Work closely with the clinical and front office teams to coordinate same-day hygiene/clinical appointments when possible.

· Track and report daily goals and production metrics.

· Maintain accurate patient information and documentation in the practice management software.

2.Financial Coordination

· Present estimated treatment costs and review insurance coverage, copayments, and out-of-pocket responsibilities.

· Clearly explain payment options, including third-party financing, in-house plans, or phased treatment approaches.

· Accurately enter treatment codes and fees into the practice management system.

· Prepare and present financial consent forms for patient signatures.

· Work with the office manager to ensure proper payment collection and financial documentation.

· Follow up with patients who have pending treatment to encourage scheduling and case acceptance.

3. Patient Communication and Service

· Provide excellent customer service, ensuring every patient feels welcomed and valued.

· Review patient records prior to appointments to confirm necessary X-rays, fluoride, or periodontal charting are scheduled.

· Communicate with patients about their continuing care needs, recommended hygiene frequency, and periodontal maintenance programs.

· Follow up with patients regarding missed hygiene visits or incomplete preventive treatment.

· Educate patients on the importance of regular cleanings and preventive care.

4. Insurance and Billing Support

· Verify insurance eligibility and benefits prior to patient appointments.

· Ensure correct insurance codes, fees, and coverage are entered for all procedures.

· Submit claims promptly and accurately, attaching necessary documentation (X-rays, narratives, etc.).

· Post insurance payments and adjustments accurately in patient accounts.

· Assist with rejections, denials, and follow-ups on un-paid claims.

· Communicate with patients about copayments, deductibles, and out-of-pocket responsibilities for all services.

· Submit pre-determinations or pre-authorizations as needed.This is to be done on a case by case basis not for every treatment presented.

· Review insurance responses with patients and update treatment plans accordingly.

· Maintain accurate and current records of insurance estimates and approvals.

5. Reporting and Office Administration

· Help run and analyze billing, production, and collection reports

· Assist with end-of-day balancing, deposit preparation, and financial summaries.

· Participate in team meetings to review production goals and scheduling improvements

· Support the front office team with administrative tasks as needed

· Work closely with hygienists, assistants, and the front office team to ensure efficient patient flow.

· Coordinate with the office manager to set hygiene department goals and track progress.

· Communicate effectively with clinical staff regarding scheduling changes or special patient needs.

· Support office morale and contribute to a positive, cooperative team environment.

Pay: $20.00 - $29.09 per hour
