About the Role:

The Procedure Scheduler plays a critical role in coordinating and managing the scheduling of medical procedures within healthcare facilities across the United States. This position ensures that patients are efficiently and accurately scheduled for diagnostic, therapeutic, or surgical procedures, optimizing resource utilization and minimizing wait times. The role requires close collaboration with medical staff, patients, and administrative teams to confirm appointment details, verify insurance coverage, and prepare necessary documentation. By maintaining clear communication and meticulous attention to detail, the Procedure Scheduler helps facilitate smooth clinical operations and enhances patient satisfaction. Ultimately, this position contributes to the overall quality of care by ensuring timely access to essential medical services.

Minimum Qualifications:

High school diploma or equivalent required; associate degree or higher preferred.
Previous experience in medical scheduling, healthcare administration, or a related field.
Familiarity with electronic health record (EHR) systems and scheduling software.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written.

Preferred Qualifications:

Certification as a Certified Medical Administrative Assistant (CMAA) or similar credential.
Experience working in a hospital or outpatient clinical setting.
Knowledge of medical terminology and insurance authorization processes.
Proficiency with Microsoft Office Suite and healthcare management software.
Demonstrated ability to work effectively in a fast-paced, team-oriented environment.

Responsibilities:

Coordinate and schedule patient procedures by communicating with physicians, patients, and clinical departments to confirm availability and requirements.
Verify patient insurance information and obtain necessary authorizations prior to scheduling procedures.
Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
Respond promptly to patient inquiries regarding appointment times, preparation instructions, and procedural details.
Collaborate with clinical and administrative teams to resolve scheduling conflicts and optimize procedure room utilization.
Ensure compliance with healthcare regulations and institutional policies related to patient scheduling and data privacy.
Prepare and distribute daily procedure schedules to relevant departments and staff.
Assist in tracking procedure volumes and reporting scheduling metrics to management.
