Alliance is seeking a dependable, detail-oriented Accounting/Administrative Assistant to join our growing team. In this role, you will work closely with the Accounting Managers and our Production Business Manager, providing vital support to ensure the smooth operation of our accounting and administrative functions.

We're looking for someone who is organized, positive, and proactive, with excellent communication and customer service skills. The ideal candidate is comfortable managing multiple priorities, works well independently and as part of a team, and thrives in a collaborative, family-oriented work environment.

Essential Position Functions:

Reviews all invoices for appropriate documentation and approval to entry into QuickBooks.
Enters payables into QuickBooks
Invoices customers into QuickBooks
Receives and processes supplies orders.
Prepares all vendor contracts and revisions, obtain signature by Docusign, manages vendor files, etc.

Assists Accounting Manager’s & Production Business Manager with daily routine tasks
Assists in monthly closings.
Performs filing, copying, and scanning of documents
Processes bank deposits as required
Mailing checks via UPS, FedEx, or USPS to clients
Communicates professionally with customers, fellow employees, vendors, etc.
Enter and manage data in our various software databases such as Salesforce
Manage and maintain various electronic and hard copy forms
Manage calendars, schedule follow-ups, etc.
Prepare informative reports as needed, keep all reports current
Numerous other administrative tasks as assigned
Bank Reconciliations
Credit Card Reconciliations
Production assistance & assisting with Scheduling

Qualifications:

Experience/proficient with Microsoft Office including Word, Excel, PowerPoint, and Outlook.
Experience/proficiency with Google applications, including Gmail, Google Docs, and Google Sheets.
Database and data entry experience.
Accounting experience preferred
Minimum 2 years in QuickBooks -Desktop

Demonstrate concern for excellence through the consistency of performance.

Pay: $21.00 - $23.00 per hour
