Full Job Description

Job Summary
Seeking an experienced Accounts Payable/Accounts Receivable Assistant to support the financial operations of our portfolio of HOA and condominium associations. We are looking for a detail oriented professional with strong accounting skills, hands on experience in Caliber software, and a solid understanding of community association management.

Responsibilities

The AP/AR Assistant will play a key role in maintaining accurate financial records and supporting the daytoday accounting needs of multiple associations. Responsibilities include:

Accounts Payable

· Enter, verify, and process AP invoices for multiple associations using Caliber.

· Review vendor invoices for accuracy, coding, and proper approvals.

· Prepare and execute check runs, ACH payments, and batch processing.

· Maintain organized digital and physical invoice files.

· Assist with month end AP accruals and expense recognition.

Accounts Receivable

· Process homeowner assessment payments, deposits, and adjustments.

· Manage AR activity including dues billing, late fees, collections, and account reconciliations.

· Communicate with homeowners regarding account balances and payment plans.

· Support community managers and Boards with AR reporting and collection updates.

Financial & Administrative Support

· Assist in preparing monthly financial statements for HOAs and COAs.

· Perform bank reconciliations, cash transfers, and deposit posting.

· Support reserve transactions, revenue recognition, and accrual accounting.

· Collaborate with community managers to ensure financial accuracy and timely reporting.

· Maintain compliance with association governing documents and accounting standards.

Requirements

· 2+ years of full cycle accounting experience (AP/AR, GL, reconciliations).

· Experience using Caliber software is strongly preferred.

· Background in community association management (HOA/COA) strongly preferred.

· Strong understanding of accrual basis accounting.

· Excellent attention to detail and accuracy.

· Strong communication and customer service skills.

· Ability to manage multiple associations and deadlines simultaneously.

· Proficiency with financial statements, budgets, and general ledger activity.
