Personal Assistant & Bookkeeper

We are seeking a highly organized, trustworthy, and proactive Personal Assistant & Bookkeeper to provide both business and household support. This role will be responsible for maintaining accurate bookkeeping for three companies, assisting with day-to-day administrative needs, and helping manage household operations and upkeep.

The ideal candidate is detail-oriented, dependable, comfortable handling confidential financial and personal information, and willing to be hands-on with the everyday tasks necessary to keep both the businesses and household running smoothly.

Key ResponsibilitiesBookkeeping & Financial Administration

Manage bookkeeping for three separate companies
Maintain accurate and up-to-date financial records for each company
Categorize and record income and expenses
Reconcile bank and credit card accounts
Manage accounts payable and accounts receivable
Track invoices, bills, payments, and outstanding balances
Prepare and send invoices as needed
Organize receipts and financial documentation
Maintain clear separation of expenses and records between each company
Track recurring expenses, subscriptions, and vendor payments
Assist with payroll-related recordkeeping and documentation
Prepare monthly financial reports and bookkeeping summaries
Maintain organized records for tax preparation
Coordinate with accountants, CPAs, payroll providers, and other financial professionals
Gather and provide requested documentation for tax filings and year-end accounting
Identify discrepancies or unusual transactions and bring them to the owner's attention
Maintain confidentiality of all business and financial information

Personal Assistant Responsibilities

Manage and organize calendars, appointments, and reminders
Schedule personal and business appointments
Coordinate meetings, reservations, travel, and events
Maintain organized personal and business files
Assist with emails, correspondence, paperwork, and administrative tasks
Keep track of important deadlines, renewals, appointments, and commitments
Make phone calls and follow up with vendors, service providers, and other contacts
Handle errands and purchases as needed
Research products, services, vendors, travel arrangements, and other needs
Maintain lists, schedules, and household/business to-do items
Help prioritize tasks and provide reminders and follow-up
Assist with special projects and events as needed

Household Management & Home Upkeep

Help oversee the organization, upkeep, and day-to-day operation of the household
Grocery shop and keep commonly used household and food items stocked
Maintain grocery lists and purchase items as needed
Assist with household laundry, including washing, drying, folding, and putting items away as needed
Monitor household supplies and order or purchase supplies before they run out
Keep household essentials stocked, including paper products, toiletries, cleaning products, laundry supplies, pantry staples, and other necessities
Receive and organize household deliveries and online orders
Run household errands, returns, exchanges, pickups, and drop-offs
Help maintain general organization and tidiness throughout the home
Assist with light household tasks necessary to keep the home functioning smoothly
Schedule and coordinate housekeepers, landscapers, maintenance professionals, contractors, and other household vendors
Schedule home repairs and routine maintenance
Meet or communicate with service providers when needed
Track household maintenance schedules and upcoming service needs
Manage household bills, subscriptions, and recurring services
Coordinate deliveries, installations, repairs, and appointments
Assist with organizing closets, storage areas, household documents, pantry areas, and other spaces
Help coordinate family events, gatherings, holidays, and special occasions
Assist with travel preparation, reservations, packing coordination, and other logistical needs
Keep household projects moving and follow up with vendors until work is completed
Anticipate household needs and proactively handle routine tasks without needing to be asked each time

Qualifications

Previous bookkeeping, administrative assistant, executive assistant, office management, personal assistant, or household management experience preferred
Experience with bookkeeping software such as QuickBooks is strongly preferred
Strong understanding of bookkeeping fundamentals and account reconciliation
Ability to manage financial records for multiple businesses simultaneously
Excellent organizational and time-management skills
Strong attention to detail and accuracy
Comfortable working independently and taking initiative
Willing and able to assist with hands-on household tasks and errands
Strong written and verbal communication skills
Ability to manage multiple projects and changing priorities
Comfortable communicating with accountants, contractors, vendors, and other professionals
Proficient with email, calendars, spreadsheets, and general office software
High level of discretion and professionalism
Dependable, trustworthy, and comfortable handling confidential financial and personal information

Ideal Candidate

The ideal person for this position is someone who naturally notices what needs to be done and takes care of it. They are organized, resourceful, financially detail-oriented, and comfortable moving between bookkeeping, administrative work, errands, and household responsibilities throughout the day.

This is a hands-on position for someone who is equally comfortable reconciling business accounts, scheduling an appointment, placing a household supply order, picking up groceries, or getting a load of laundry done.

This person should become a trusted point person for both business and household organization. The goal of the role is to keep the books accurate, the businesses organized, the home stocked and maintained, and everyday responsibilities moving without the owner having to personally manage every detail.

Pay: $25.49 - $30.70 per hour
