This is not a traditional receptionist or front desk position — it combines luxury client service, sales, administration, clinic operations, marketing coordination, and inventory management. The right candidate moves confidently between client-facing and behind-the-scenes work, embraces responsibility, and performs well without constant supervision.

What You'll Do
Lead Conversion & Sales Conversations (Primary Focus)
- Answer inbound calls, texts, and email inquiries and quickly understand client intent.
- Guide prospective clients from initial inquiry to a booked consultation, confidently discussing OHMI's consultation model and fees.
- Maintain strong booking conversion rates and fast response times; promptly follow up on missed calls and re-engage leads who haven't booked.
- Position the consultation as the start of a personalized treatment plan, not a one-time service.
Client Experience & Front Desk Operations
- Deliver a polished, welcoming, and consistent client experience from arrival through checkout.
- Greet clients, coordinate appointments, and manage bookings.
- Maintain accurate client records, appointment notes, payment information, and follow-up tasks.
- Resolve concerns professionally and proactively, with complete client satisfaction as the goal.
Sales Support & Business Development
- Actively promote OHMI's treatments, services, skincare products, programs, memberships, and promotions.
- Partner with consultants and providers to support treatment conversions, retail sales, and monthly clinic goals.
- Build long-term client relationships through trust, responsiveness, professionalism, and product knowledge.
Operations, Inventory & Marketing Support
- Perform administrative work with exceptional accuracy, organization, and confidentiality; maintain calendars, records, and operational systems.
- Coordinate special projects while managing daily responsibilities, and take ownership without repeated reminders.
- Receive, inspect, organize, and track inventory; assist with counts, audits, ordering, and transfers between locations.
- Support the execution of promotions, campaigns, and clinic events, and ensure current offers are accurately communicated to clients.
Teamwork & Initiative
- Collaborate effectively with consultants, nurses, estheticians, and management.
- Take initiative independently of direct supervision, and stay calm and solution-oriented under pressure.
Qualifications
Required
- At least 2 years of experience in a client-facing sales, consultative sales, or premium/luxury hospitality role, with a track record of meeting or exceeding service or sales goals.
- At least 1 year of experience in an administrative, operations, or office management capacity
- Comfortable initiating and guiding sales conversations, including openly discussing consultation fees and pricing.
- Excellent organizational, prioritization, and time-management skills; ability to multitask without losing accuracy or follow-through.
- Strong written and verbal communication skills.
- Reliable transportation and willingness to travel between multiple Orange County locations, each with its own systems and workflows.
- Availability to work according to clinic needs including evenings and weekends.
Preferred
- Experience in a medical spa, aesthetics clinic, dermatology office, plastic surgery practice, luxury hospitality, or luxury retail environment.
- Experience with consultative sales, CRM/scheduling systems EMR systems, or client follow-up workflows.
- Genuine interest in skincare, aesthetics, and treatment planning.
- Bilingual ability, including Mandarin, is a strong plus given our client base — not required, but will be weighted favorably.

Pay: $22.00 - $26.00 per hour
