Full Job Description

Western Site Services LLC (a highly respected, service-oriented, family-operated, and women-owned portable sanitation and rental company serving the Bay Area since 2015) is offering an excellent employment opportunity for a Billing and Collections Specialist with 2 years of experience. If you are a team player who can accomplish delegated tasks and responsibilities related to accounts receivable, and you’re willing to learn and expand your knowledge more, we want you to explore joining our team!

Job Summary:

We are seeking a highly skilled and versatile Billing and Collections Specialist to join our team. This position collaborates closely with Accounts Receivable and the Customer Service and Accounts Manager to ensure the seamless execution of day-to-day operations within the Billing Department. This job focuses on producing high-quality, detailed work based on established standards, guidelines, and procedures. The person in this role needs to be precise, consistent, and patient, with a willingness to prioritize one task at a time. Work in this role tends to be stable, based on a well-defined process.

To ensure success, this role requires consistent, error-free work based on defined regulations and standards. This role promotes steady, methodical work, so that tasks can be completed accurately and on time.

Job Characteristics:

Must work at a steady pace, with focus on accuracy and quality of work. Comfortable working through repetition and process. Will adhere to procedures and complete each task before taking on a new one.
Focus is on technical and analytical work. Must operate within established systems, standards, and procedures. Communicates based on existing and specialized job expertise.
Ability to make decisions within clearly defined parameters, adhering to defined policies and procedures. Will prioritize decisions in the interest of the group.
Strong focus on building job knowledge and expertise. Communication is helpful and responsive. Must approach work in a collaborative manner that also emphasizes structure.

Job Description:

· Collections

Proactively contact past-due customers to collect outstanding balances
Follow up with both major and non-major customers via phone and email
Maintain accurate notes on collection activity and payment commitments
Escalate delinquent accounts when necessary to direct manager

Billing

Generate and manage recurring invoices
Prepare prorated invoices as needed
Issue credit memos and adjustments accurately and timely
Upload invoices to customer billing portals
Run and review customer billing and aging reports
Ensure billing accuracy and compliance with company procedures
Manage collections workbook

Maintaining Emails

Monitor and manage shared and individual email inboxes
Respond to customer billing and collections inquiries in a timely manner
Maintain organized email records related to billing and collections

Qualifications / Skills

· 2+ years of experience
Strong communication and customer service skills
Motivated and comfortable making collection calls
Detail-oriented with strong organizational skills
Ability to manage multiple accounts and deadlines
Strong analytical skills, attention to detail, and proficiency in Microsoft Office Suite (Excel & Word). Excellent writing skills with the ability to present high level data and information.
Must be willing to take ownership of work deliverables to ensure assignments/projects are met in a timely fashion. Ability and willingness to meet critical deadlines.

PHYSICAL & WORK REQUIREMENTS

This position requires manual dexterity sufficient to operate phones, computers and other office equipment. The position requires the physical ability to kneel, bend, and perform light lifting. This person must have the ability to write and speak clearly to convey information and be able to hear at normal speaking levels both in person and over the telephone.

· Work hours - 8:00am - 5:00pm, Monday – Friday
