Job Overview

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a professional and energetic workplace.

Duties

Answer and route incoming phone calls; take messages and follow up as needed
Greet and check in/check out patients
Schedule, confirm, and reschedule patient appointments
Collect payments at time of service
Verify patient information and update records in the practice management system
Manage the daily schedule and notify the doctor of changes or cancellations
Respond to appointment requests via phone, email, and text
Keep the front desk and reception area organized and presentable
Handle basic administrative tasks: scanning, filing, faxing intake forms and records

Requirements

Proven experience in office administration or front desk reception roles with strong clerical skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel) and familiarity with data entry processes
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Exceptional phone etiquette and communication skills, including experience with multi-line phone systems
Bilingual abilities are a plus to serve diverse client needs effectively
Previous experience in customer service or personal assistant roles is highly valued
Ability to demonstrate technical proficiency in office productivity tools and maintain high levels of accuracy in typing and filing tasks
