Bookkeeper/Administrative Assistant

We are seeking an organized and proactive Assistant to provide comprehensive support to President/CEO. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining a level of professionalism. The ideal candidate will process strong communication skills and a commitment to delivering exceptional administrative support and must be able to maintain a high level of confidentially. In addition, the candidate must possess strong bookkeeping acounting skills.

· Possess strong bookkeeping/accounting experience, skills and knowledge of QuickBooks and excel to the level of creating spreadsheets to reflect budgets and bank account reconciliations. This position maintains the accounting of four different companies. Each company has its own checking account and this position is responsible for all payables and receivable for each company.

· Knowledge of commercial property management to include collecting rental payments, understanding lease agreements, managing CAM charges, communicating with tenants, and real property assessments and real property taxes.

· Excellent organization skills with the ability to maintain hardcopy files for paid invoices, bank reconciliations, leases, building plans, tax returns, emails, correspondence letters, etc.…

· Knowledge and understanding of commercial liability insurance and auto insurance to include securing quotes for renewal and ensuring all premiums and installments are paid timely.

· Knowledge and familiarity with purchase and sale of autos, title transfers and auto insurance a plus.

· Able to provide support to include managing calendars, scheduling and keeping up with meetings and appointments and coordinating travel arrangements for the CEO.

· Knowledge of plane management is a plus.

Duties include but are not limited to the following:

* Bookkeeping/Accounting – Minimum 5 Years Experience.

* Proficiency in Excel – Minimum 5 Years Experience.

* Proofread documents for accuracy, grammar, punctuation, spelling with a strong attention to detail.

* Receive calls and correspondence and distribute accordingly.

* Assist with confidential data, including business, financial and personnel matters.

* Coordinate the distribution of information coming in and out of the office.

* Support Executive responding to inquiries and providing information as requested by him.

* Collaborate on various projects to ensure seamless operations.

* Maintain office supplies inventory by checking stock to determine inventory, anticipating needed supplies.

* Excellent proofreading skills with attention to detail.

* Strong organizational skills with the ability to prioritize tasks effectively.
