Overview
Exposures Gallery is located in the heart of the Art District in SEDONA, Arizona, 2-hours north of Phoenix, Arizona. Featuring over 100 artists, throughout a 20,000 square foot art display, Exposures Gallery is proud to celebrate their 30th year anniversary this Fall.

Exposures Gallery prides itself in honesty and integrity, and we are looking for a unique candidate that is looking to establish their career and join a team environment with a desire of upward mobility within the company.

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team with a commitment to providing exceptional support in a fast-paced office environment. The ideal candidate must have a great attendance record, possess strong communication skills, enjoy art and music, help in assisting others while always maintaining a very positive attitude and good sense of humor.

Ideal candidate should be professional, self-motivated, detail-oriented, well-spoken, energized, intelligent, organized, efficient, and reliable on a day-to-day basis. This role is essential for ensuring the smooth operation of daily administrative tasks and enhancing overall productivity.

Duties

Manage incoming calls with professionalism, demonstrating excellent phone etiquette.
Provide administrative support by reviewing daily paperwork, scheduling deliveries, maintaining calendars, corresponding with artists and vendors, and coordinating shipments with various carriers.
Assist with office management tasks, including bookkeeping , emailing, organizing files, inventory maintenance and labeling, and managing office supplies.
Perform data entry accurately and efficiently, ensuring all records are correct and up to date.
Support staff and client inquiries and provide assistance as needed, fostering positive relationships with clients.
Utilize QuickBooks for basic accounting tasks, including invoicing, processing payments, inventory control and tracking shipping deadlines.
Collaborate with team members to improve workflow and enhance office efficiency.
Maintain confidentiality of sensitive information in compliance with company policies.

Physical Requirements:

Lifting & Carrying 20 - 50lbs

Requirements

Prior experience in an administrative role or similar position is preferred.
Strong time management skills with the ability to prioritize tasks effectively.
Excellent customer support skills, demonstrating a friendly and professional demeanor.
Ability to work independently as well as collaboratively within a team environment.
Experience in Quickbooks (or similar) is a plus, but not necessary.
Experience with Microsoft Word and Excel.
