Full Job Description

Customer Service & Operations CoordinatorBeaudry Electric Motors & Controls, Inc.

Beaudry Electric Motors & Controls is looking for a dependable, organized, and customer-focused Customer Service & Operations Coordinator to join our team.

We are a service and repair company specializing in electric motors, gearboxes, pumps, servo motors, and related industrial equipment. Our work is fast-paced and requires good communication, organization, attention to detail, and the ability to keep multiple jobs moving at the same time.

This is much more than a traditional front-desk position. You will be an important part of the daily operation of our business, working with customers, technicians, vendors, parts suppliers, shipping companies, and delivery drivers to keep jobs moving from check-in through completion and delivery.

What You’ll DoCustomer Service & Operations Support

· Communicate regularly with technicians, sales staff, management, vendors, customers, and drivers.

· Help keep information flowing between the office, shop, warehouse, and delivery team.

· Make calls to customers, vendors, suppliers, and shipping companies as needed.

· Assist with scheduling and coordinating pickups, deliveries, and other activities.

· Maintain accurate job records and paperwork.

· Assist with inventory organization and counts.

· Assist with keeping the shop, front office, shipping/receiving areas, and staging areas organized.

· Jump in and help wherever needed to keep the operation moving.

Job Check-In & Coordination

· Receive incoming stock, repair and service jobs.

· Check jobs into QuickBooks accurately.

· Verify customer information, equipment information, paperwork, and job details.

· Make sure incoming equipment is properly identified and associated with the correct customer/job.

· Check completed jobs out and prepare them for pickup or delivery.

· Help make sure jobs do not get overlooked, misplaced, or held up because of missing information.

Parts, Shipping & Receiving

· Receive incoming parts, motors, gearboxes, pumps, and other equipment.

· Check shipments against packing slips, purchase orders, and job information.

· Receive parts into QuickBooks accurately.

· Properly label and organize incoming parts and materials.

· Notify the appropriate employees when parts arrive.

· Identify missing, incorrect, damaged, or backordered items and communicate those issues.

· Prepare outgoing packages and shipments.

· Package equipment and parts appropriately for shipment.

· Prepare shipping labels, paperwork, and other required documentation.

· Keep the shipping and receiving area organized.

Delivery & Driver Coordination

· Verify that all items, paperwork, and materials are ready before a delivery leaves.

· Help coordinate daily delivery schedules with our drivers.

· Communicate addresses, customer information, delivery instructions, and special requirements to drivers.

· Help organize delivery priorities and routes.

· Communicate changes or additions to delivery schedules.

· Communicate with customers regarding delivery timing when needed.

· Assist drivers with paperwork, job information, parts, and other materials required for deliveries.

· Help coordinate pickups, returns, exchanges, and redeliveries.

· Communicate delivery problems, delays, or customer issues to management.

What We’re Looking For

Preferred Experience

· QuickBooks experience preferred, but not required

· Bilingual English/Spanish preferred, but not required

· Forklift experience preferred, but not required

· Previous experience in customer service, dispatching, office administration, shipping and receiving, warehouse operations, parts, manufacturing, industrial service, repair, or a similar environment is a plus.

· Experience with job-management, inventory, scheduling, accounting, or other business software is helpful.

You don’t need to be an expert in electric motors or industrial equipment. We can teach you our business and our processes. What we need is someone who is willing to learn, pays attention to details, communicates well, and takes pride in doing things correctly.
