Position Purpose
The Warehouse Manager is responsible for the efficient and safe operation of the warehouse, encompassing product purchasing, receiving, inventory control, and pre-kitting oversight. This role ensures adequate stock levels through accurate ordering and vendor coordination, maintains equipment and facilities (including forklifts, refrigeration units, HVAC systems, and building grounds) in safe working order, and oversees vault and driver bank transactions. The Warehouse Manager also leads the warehouse safety program--conducting inspections, managing compliance with OSHA and food-handling regulations, coordinating incident response, and maintaining required safety documentation-while supervising warehouse staff, managing vehicle-related supply needs, and preparing the facility for scheduled inspections. This position plays a critical role in keeping warehouse operations running smoothly, safely, and in compliance with company and regulatory standards.
Essential Job Duties and Responsibilities
Product Purchasing
- Walk through inventory daily/weekly; notify drivers of any Vistar or other supplier shortages
- Calculate needs and increase or decrease orders as needed
- Place orders, including: TVC Boise order- 2x weekly, Meadow Gold Milk, Pepsi, Coke, Vistar, and Hayden Beverage
Receiving & Managing Product
- Unload/load trucks and put away product
- Check dates
- Check temperatures, if needed
Oversee Pre-kitting
- Pull pre-kitting orders from Seed, then pull orders from Lightspeed
- Pull all market & Traditional orders at 9:00 AM
- Manage the pre-kitting zone and warehouse employees
- Fill in for employees on vacation or sick leave
- Check for close-dated or out-of-date products
- Spoil out any out-of-date products
Equipment Maintenance
Forklift:
o Complete daily inspection on Fleetio-Go
o Schedule forklift maintenance with Crown forklifts Bi-annually
o Take propane tanks to get filled
o Change propane on forklift if needed
o Train and certify employees on forklift operation
o Swap out dumpsters twice a week
Furnace and AC for warehouse office:
o Check and replace furnace filter once a month
o Check and clean remote condenser unit above office every 6 months
Cooler and freezers:
o Calibrate thermometer for accuracy each Monday
o Check and log temperatures three times daily
o Inspect condensers quarterly and clean
o Perform visual inspection of evaporator fans in both cooler and freezers monthly
Warehouse Inventory (Quarterly)
- Water - e.g., Kirkland 16.9 oz. water bottles (pallets), I-gallon distilled water (pallets)
- Vending, coffee, and cappuccino supplies, cups, vend sugar and creamer
- Bottle and can drinks
- All chips, candy, and snacks
- Cooler products
- Freezer products
Warehouse Safety
Safety program administration:
o Conduct weekly safety inspections of the warehouse, loading docks, equipment areas, and break spaces
o Track corrective actions and follow up with department leads to ensure timely resolution
Training and compliance:
o Provide onboarding safety orientation for all new warehouse personnel
o Participate in CPR / First Aid training certification
o Assist with emergency preparedness drills (evacuation, fire response, chemical spill)
o Manage other duties in alignment with assigned company role as determined by General Manager
Incident and accident management:
o Respond to workplace incidents to gather witness statements, photographs, and evidence
o Document and report incidents using the company's incident reporting system within required timelines
o Coordinate return-to-work documentation and transitional duty assignments when applicable
Hazard identification and prevention:
o Conduct daily walk-throughs and maintain a hazard log (trip hazards, blocked exits, damaged equipment, improper stacking)
o Monitor chemical and cleaning supply storage, including SDS management
o Ensure pallet jacks, forklifts, ladders, and lifts are inspected and documented per schedule
o Ensure facility compliance with OSHA, state health departments, food-handling regulations, and internal safety protocols
o Assist with regulatory audits and corrective action plans
o Maintain accurate logs for fire extinguisher inspections, eyewash station checks, forklift certifications, safety meetings/attendance, and equipment maintenance safety
o Keep digital copies of updated SDS sheets and chemical inventories
Emergency response and preparedness:
o Restock first-aid kit, PPE dispensers, and spill kits monthly, documenting expiration dates and usage
o Coordinate AED inspections and documentation
o Maintain emergency contact lists and exit route maps
Warehouse Use
- Order supplies - e.g., receipt printer paper for pre-kitting, paper towels, toilet paper, office supplies, tagging guns, expiration tags
- Order employee coffee - weekly
Required Yearly Inspections
- Prepare all items and areas listed above for inspections
Required Knowledge, Skills & Expertise
- Excellent verbal and written communication skills

Required Education and Experience
- High school diploma required; associate degree preferred
- Minimum of 5 years' experience in warehouse or related fields
Work Environment
- Position requires work in both a warehouse and office setting, with occasional visits to other departments
- Work is conducted between 6:00 AM and 4:00 PM, Monday through Friday
- Dress requirements are casual, unless meeting with suppliers or vendors
Physical Requirements
- Ability to see, with or without corrective lenses, well enough to read standard text
- Ability to hear, with or without hearing support devices, well enough to converse on the telephone
- Ability to speak well enough to verbally converse with others, especially on the telephone
- Sufficient manual dexterity to write and operate office machines/Ability to lift up to 50 lbs.
