In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your energetic approach and attention to detail will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and friendly environment.

Responsibilities

Greet visitors and clients warmly, directing them appropriately and ensuring a positive experience from the moment they arrive
Answer multi-line phone systems efficiently, handling inquiries with professionalism and courtesy
Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
Perform data entry tasks accurately, maintaining organized records, spreadsheets, and filing systems
Support office management duties such as inventory tracking, supply ordering, and document proofreading
Assist with basic bookkeeping using QuickBooks or similar software to record transactions and maintain financial records
Provide customer support by addressing questions, resolving issues promptly, and maintaining excellent client communication

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, spreadsheets, and communication
Strong computer literacy with the ability to learn new software quickly and efficiently
Excellent organizational skills with keen attention to detail for filing, data entry, and proofreading tasks
Exceptional phone etiquette combined with experience managing multi-line phone systems for effective communication
Bilingual abilities are highly desirable to serve diverse client needs effectively
Previous office experience or administrative background is preferred to ensure smooth workflow management
Ability to multitask efficiently while maintaining productivity in a fast-paced environment
Knowledge of office management practices including calendar management, clerical procedures, and client communication
Technical proficiency in office equipment such as printers, scanners, and fax machines is advantageous
