We are looking for a high-energy, positive, and versatile Administrative Assistant / Receptionist / Assistant Property Manager to join our team. This is a unique "hybrid" role where you will manage the front office, provide administrative support, and gain hands-on experience in the property management and real estate investment industry.

Key Responsibilities

Office Administration: Serve as the professional face and voice of our companies—handling inquiries via phone, email, and in-person visits with a positive attitude.
Real Estate Support: Assist in managing rental listings, coordinating showings, processing applications, and maintaining accurate records across our various platforms.
Assistant Property Management: Learn the operational side of management by handling tenant requests, coordinating with vendors, tracking maintenance, and following up on rent collection.
Versatile Coordination: Support senior management across our different brand entities (NYOnlineRealty.com, AllSpaces.com, Vesnwo.com) to ensure smooth operations.
System Management: Utilize our CRM and office software to keep data organized, follow up with leads, and update property portfolios.

Fast Learner & Tech Savvy: You pick up new software and processes quickly and enjoy the "hustle" of a busy real estate environment.
Growth-Oriented: You aren’t looking for just a 9-to-5; you want to learn the business of real estate, learn how to invest, and move up within the company.

Real Estate Interest: You either have a current New York Real Estate License or are motivated to obtain one in the near future.

Qualifications

High School Diploma required; Associate’s or Bachelor’s degree preferred.
Prior experience in reception, office administration, or customer service is a plus, but we will train the right personality.
New York Real Estate License (Current or in-progress) is highly preferred.
Excellent written and verbal communication skills.
Reliable transportation for local errands or occasional property visits.

Overview
We are seeking a dynamic and detail-oriented Administrative Assistant / Receptionist / Assistant Property Manager to join our fast-paced real estate investment team. This multifaceted role offers an exciting opportunity to support property management operations, provide exceptional client service, and assist with administrative functions essential to our success. The ideal candidate will be proactive, organized, and possess a passion for real estate and customer engagement.

Duties

Greet visitors, clients, and vendors professionally while managing incoming calls with excellent phone etiquette
Assist with lease or rental agreement management, including data entry and document filing
Support property management activities using tools such as Yardi, OneSite, and other property management software
Coordinate property maintenance requests and facilitate communication between tenants and maintenance teams
Manage client relationships through effective communication and upselling of available properties or services
Assist with legal administrative tasks related to landlord-tenant law, Fair Housing regulations, and contract management
Support budgeting processes, record keeping, and filing systems to ensure compliance and organization
Handle conflict management situations with professionalism and tact while maintaining positive tenant relations
Contribute to team management efforts by assisting with scheduling, reporting, and general office duties

Qualifications

Proven experience in property management or real estate administrative roles; familiarity with property management companies preferred
Strong knowledge of property management tools such as Yardi, OneSite, or similar platforms
Experience with legal administrative procedures related to landlord-tenant law and Fair Housing regulations
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry, reporting, and correspondence
Excellent customer service skills with the ability to handle client communication effectively
Demonstrated ability in conflict resolution, negotiation, and contracts management
Knowledge of LIHTC (Low-Income Housing Tax Credit), Section 8 housing programs, and LIHTC regulatory compliance is a plus
Ability to manage multiple priorities efficiently in a fast-paced environment
Strong organizational skills with attention to detail in filing, record keeping, and data entry
