Position: Administrative Assistant /Front Desk Coordinator

Location: Encompass Child Development Center, Snoqualmie, WA

Job Type: Part-Time, 20-25 hours/week

Hourly rate: $21.15 – 28.56, DOE

As Administrative Assistant, you are often the first smile, first voice and first connection families experience at Encompass. You play a vital role in ensuring every interaction feels supportive, organized and positive.

What You’ll Do

You’ll help create a seamless and caring experience for families, staff and visitors by:

Greeting families and guests with warmth and professionalism. Your goal will be making everyone feel seen and valued.
Checking in clients, answering phones and emails and assisting with insurance information
Managing appointment scheduling, rescheduling and cancellations while keeping therapists informed
Supporting daily operations with filing, data entry and organization
Coordinating interpreter services to ensure accessible care for all families
Ordering and maintaining facility, office and janitorial supplies
Keeping the lobby and shared spaces clean, safe, and welcoming
Following safety procedures to support a secure environment for all
Opening and closing the center with attention to detail
Staying up to date on programs, classes and special events to better support families
Partnering with the rest of the Family Engagement Team on intake tasks
Supporting the Pediatric Therapy Team with front office coordination and basic facility needs
Jumping in wherever needed to support the Encompass team

What You Bring

You’re a people-centered, detail-oriented professional who enjoys balancing multiple priorities while delivering excellent service.

Required:

At least 2 years of relevant experience
A strong customer-service mindset with a genuine desire to help others
Excellent verbal and written communication skills
Ability to multitask and prioritize in a busy environment
Dependability and flexibility, including willingness to adjust hours to support the team
Strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite
Ability to maintain confidentiality and exercise sound judgment
A proactive, independent work style paired with a collaborative team spirit
CPR & First Aid certification (or willingness to obtain upon hire)
Valid driver’s license, insurance and reliable transportation

Preferred:

Bilingual in English and Spanish

Work Environment

This role is based in a friendly, active office setting. Some light lifting (up to 20 pounds), bending and occasional exposure to cleaning products may be required.
