Join Our Team as an Executive Assistant/HR Assistant
Community Care of the Lower Cape Fear is seeking a highly organized, proactive professional who thrives in a fast-paced environment to join our team as an Executive Assistant in our downtown Wilmington, NC office.
Our Executive Assistant provides high-level administrative and operational support to our executive leadership team and completes HR responsibilities and projects. This position requires exceptional organizational and diplomacy skills, sound judgment, discretion, and the ability to anticipate needs while managing competing priorities.
What You'll Do
As our Executive Assistant, you will:
- Serve as a primary point of contact for internal and external communications for executive leadership.
- Draft, edit, and manage correspondence, reports, presentations, and other business documents.
- Coordinate executive calendars, meetings, appointments, and travel arrangements.
- Prepare meeting agendas, materials, minutes, and follow-up action items.
- Plan and coordinate company meetings, events, and team-building activities, including virtual, in-office, and off-site events.
- Provide project coordination, track deadlines, and assist with special initiatives.
- Schedule interviews, assist with onboarding and offboarding employees, maintain HR records, and respond to employee inquiries.
- Build positive working relationships with Board members, clients, stakeholders, and employees.
- Facilitate communication between executives and internal departments to promote collaboration and alignment.
- Manage highly confidential business, financial, and HR information with professionalism and discretion.
- Perform general administrative duties and other responsibilities as assigned.
Experience and Education
- Associate's degree in a related area and minimum of three (3) years of experience in an administrative role within a fast-paced environment; or
- Bachelor’s Degree and one (1) year experience in an administrative or similar role in a fast-paced environment
- Equivalent experience that provides the knowledge, skills, and abilities to perform the job may be substituted for a degree.
Skills & Qualifications
- Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience using Canva or similar design and presentation software.
- Outstanding written and verbal communication skills.
- Exceptional organizational, time management, and multitasking abilities.
- Strong critical thinking and problem-solving skills.
- High emotional intelligence, professionalism, and diplomacy.
- Excellent attention to detail and accuracy.
- Ability to work independently while managing multiple priorities.
- Demonstrated initiative with the ability to anticipate executive needs.
- Commitment to maintaining the highest level of confidentiality.
- Flexibility to adapt to changing priorities; occasional extended hours or local travel may be required.
- Driver's license
