Job Summary

We are seeking an energetic and detail-oriented Receptionist / Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and clients, manage a busy front desk, and provide essential administrative support to ensure smooth daily operations. Your proactive attitude and excellent organizational skills will help foster a welcoming environment while maintaining office efficiency. Duties

Greet visitors, clients, and vendors warmly, ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries efficiently
Handle incoming and outgoing correspondence, including emails and mail distribution
Maintain organized filing systems, both physical and digital, for easy retrieval of documents
Perform data entry tasks accurately using productivity software such as Microsoft Office and spreadsheets
Assist with scheduling appointments, meetings, and conference room arrangements
Support office management tasks including inventory tracking, supply ordering, and document proofreading

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Strong computer literacy with the ability to quickly adapt to new software tools
Excellent phone etiquette with experience managing multi-line phone systems and client communication
Bilingual abilities are highly desirable to effectively serve diverse clientele
Demonstrated organizational skills with the ability to prioritize tasks and manage time efficiently
Previous office or clerical experience with a focus on customer service and front desk responsibilities
Technical proficiency in office management software such as QuickBooks is a plus
Exceptional proofreading skills combined with attention to detail in all written communication
Proven ability to handle confidential information discreetly while providing outstanding customer support
