Full Job Description

Job Overview

Responsibilities

Serve as the front desk ambassador, greeting visitors and directing them appropriately with friendly professionalism. Working well with others in a small office environment.
Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
Handle data entry tasks accurately using Microsoft Office, Google, Quick books, and other office software to maintain records and files. Do quarterly reporting and progress billing. Reconcile bank and credit card statements . Make bank deposits and process weekly payroll.
Assist with appointment scheduling, calendar management, and coordinating meetings.
Perform clerical duties such as filing, invoicing, paying bills & proofreading documents while organizing office supplies to ensure an orderly workspace.
Support bookkeeping activities using QuickBooks for basic financial recordkeeping
Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times

Experience

Previous office management or administrative experience is mandatory, including familiarity with front desk operations and clerical tasks.
Proficiency in computer literacy with strong skills in Microsoft Office (Word, Excel, Outlook), Certified in Quick books, and various data entry tools. Must be detail oriented
Experience with multi-line phone systems, phone etiquette, and customer service is essential for seamless communication.
Handling sensitive information with confidentiality and processing payroll.
Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively
You must be motivated to work and be reliable. This position is vital to our company operations.
Possessing a remarkable memory is favorable.
Starting pay depends on experience.

Join us as a Full Time Secretary . No weekends. Position is Monday through Friday 7:30 am to 4:30 pm. Medical and dental offered. Sick time and vacation.
