Job Summary
We are a real estate company seeking a highly organized, service-oriented Office Administrator & Marketing Coordinator to support the brokerage, its leadership team, and approximately 70-90 Realtors. This hybrid role blends front office administration, listing support, social media management, marketing coordination, and design assistance.

The ideal candidate is detail-oriented, adaptable, and enjoys balancing daily office operations with creative marketing and technical support. This position plays a key role in maintaining a professional office environment while helping agents present their brands and listings at a high level.

Essential Job Functions

Administrative Support

Open and close the office daily
Greet clients, agents, and guests
Answer, screen, and distribute incoming calls
Manage the main office email inbox
Distribute incoming mail, packages, and faxes
Maintain common areas, resource centers, and office supplies
Maintain office printers (toner, paper jams, basic troubleshooting)
Assist agents and management with administrative tasks as needed
Prepare meeting room and assist with Wednesday Sales Meetings
Create and maintain the monthly opportunity schedule
Prepare monthly statistical reports
Distribute client satisfaction surveys and responses
Process incoming closing statements & prepare files for archiving
Coordinate agent birthday cards and office announcements
Stay current on company announcements, Premier & Luxury property guidelines, and office trainings
Set up phone systems and call forwarding

Marketing & Design Support

Assist agents with marketing, branding, and Windermere tools
Help onboard new agents
Blast new agent announcements
Maintain office and agent websites
Maintain realtor.com profiles
Design and update marketing materials (flyers, postcards, packets, signage, ads)
Create Maxa & Canva templates and designs for agent use
Assist with Custom Xpress orders
Coordinate Premier Property applications
Create Mailchimp emails and manage contact lists
Edit listing photos and create open house videos for social media
Support agents with social media design ideas and content
Manage office social media (Facebook & Instagram)
Coordinate Journal of Business ads and other advertising
Create Adobe fillable forms
Monitor agent compliance with branding, copyright, and email procedures
Input open houses into MLS, Spokesman Review, and Tour Factory

Listing Entry & Transaction Support

Assist with MLS and Skyslope data entry

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
