Full Job Description

Administrative Assistant/Accounting Dept Backup

Role:

We are seeking a detail-oriented and organized Administrative Assistant to support our management team and provide back-up to the Accounting Dept with an employment start date September 1, 2026.

This position will manage daily operations, and ensure the office runs smoothly.

Key Responsibilities for Administrative Assistant support:

· Answer and direct incoming calls, as well as respond to community inquiries.

· Assist visitors and deliveries to their designated location.

· Maintain company Base Camp calendar.

· Organize and manage office supplies.

· Publish Employee On-Call log as directed by management.

· Orchestrate repairs or service calls for office machines and equipment.

· Manage and issue Purchase Orders for employee company purchases and supplies.

· Receive and process customer requests for Certificate of Insurance documentation.

· Distribute incoming mail to internal staff and departments.

Responsibilities for the Accounting Department back-up:

· Enter accounts payable invoices in the QuickBooks accounting system daily and maintain processed invoice filing system.

· Monitor and enter credit card receipts in the accounting system as received.

· Assist in the assignment of new job numbers in the job book and set-up customer job information in the accounting system as needed.

· Provide project support of basic clerical needs if needed by management staff.

Skill Requirement:

· Proven 1-5 years of multitasking and time-management experience in administrative or clerical support. Previous accounting experience a plus.

· Must have excellent written and verbal communication skills.

· Ability to work independently and efficiently after training.

· Working knowledge of office machines and equipment.

· Proficiency in multiple office systems to include Microsoft Office, Outlook, Excel, Word. Intuit Timesheets and QuickBooks experience is a plus.

Job Compensation Package:

· Job offers competitive wages.

· Paid time off and 10 company paid holidays.

· After a 90-day probation period, 80% company paid Health insurance, and a 50% company paid alternative Health insurance plan.

Pay: $18.00 - $20.00 per hour
