Oregon Community Programs provides a range of behavioral and mental health services to children, youth, and their families across a variety of settings, including families of origin, kinship care, foster care, and Treatment Foster Care.
As our Office Supervisor, you will be an essential part of our team, helping create a welcoming, organized, and efficient workplace. Working closely with our Operations Director, you will oversee daily office operations, support smooth workflows, and help ensure our team has the resources and environment they need to do their best work.

Minimum Job Requirements:
- Two-year college degree and two years’ experience in office administration, OR a comparable combination of education and experience relevant to this position.
- College-level reasoning and language skills, and proficient using essential components of math
- Highly proficient in full Microsoft Suite, Microsoft Teams, and high level of confidence learning new software and programs (will be tested)
- Experience being the central hub of information. Respond to questions from management, therapists, colleagues, vendors, and community partners.
- Ability to remain calm and lead others
- Respectful, open, unbiased, and accepting attitude toward staff, clients and their families
- Reliable transportation, driver’s license, good driving record, and insurance

Essential Responsibilities:
- Responsible for the office operating efficiently and effectively for its staff and clients including front office/lobby, childcare, meeting and therapy rooms, common areas, kitchens, file room, and office transitions.
- Supervise reception and onsite childcare staff. Arrange for backup coverage when needed or provide it yourself if necessary. Oversee, understand, and train others on all the front desk components of Electronic Health Records system. Maintain user-friendly policies and procedures for front desk and lobby.
- Triage unusual circumstances that arise in the lobby, front desk, first floor, and right outside our building. Assess and triage minor facility safety or repair needs for follow up. Coordinate building inspections, fire drills, and recurring maintenance items. Work with security and fire systems that are managed by IT.
- Be solution-focused, using creative approaches and sound judgment as situations arise/requests come in.
- Point person for making range of purchases and other arrangements across the agency
- Willingness to undertake new projects, including a future scheduling system for clinical sessions and childcare

- Assist with other admin team duties after being cross trained
- Maintain spreadsheets and data entry as needed
- Facilitate agency-wide projects as assigned
- Handle logistics for holiday and summer parties, staff socials, and other celebrations
